The system completes data checks on each employee record. Based on the data check, an alert may be posted to the "Alerts" tab from the HR Portal homepage. Alerts need to be cleared BEFORE the Rollover of benefits to capture any eligibility changes. Administrators should review alerts daily and take appropriate action to resolve any issues.
- Click the Alerts(X) icon from your Administrator Home page to view the alerts.
- A "Record Count" link is available next to each alert providing a detailed list of which employees were affected by the alert.
- Alerts can be resolved by following the Employee link available on the detail view and taking the appropriate action against the employee record.
Common Alerts
The Alerts table will list Alerts that have been automatically generated by the system. The list of common alerts has been provided below:
- Employee is Terminated but Account Not Locked
- Alert will be generated for employees whose Employee Status is equal to Terminated, but who still have access to the Employee Portal. Check the Lock Account field on the employee demographic screen for the affected employee to resolve this alert.
- Account is Locked
- Alert will be generated for employees whose Employee Status is not equal to Terminated, but have been locked out of the Employee Portal. An employee can be locked out of the system if he/she tries to log into the Portal unsuccessfully three consecutive times. Uncheck the Lock Account field on the employee demographic screen for the affected employee to resolve this alert.
- Employee Eligible for Additional Benefits
- Alert will be generated for employees who may be missing benefit records. To resolve this alert, navigate to the employee's benefits screen and click the Check Eligibility button. The system will display any benefits for which the employee should be eligible for, but does not currently have. Processing the missing/new benefits will resolve this alert.
- Rate Recalculation Required
- Alert will be generated for employees who may be subject to Rate Recalculation on employee Birth Date Anniversary. The Alert will be generated on the employee's Birth Date Anniversary. To resolve this alert, recalculate the employee's premium/cost by expiring the current coverage and setting a new effective date for the new cost.
- Dependent to Become Overage for Plan
- Alert will be generated for covered dependents 30 days prior to their birth date anniversary when they are about to turn overage for the Plan. To resolve this alert, remove the overage dependent from coverage by expiring the current coverage and setting a new effective date for the new coverage.
- $0 Compensation Record
- Alert will be generated for employees loaded with $0 Compensation and enrolled in a benefit that requires Compensation to calculate cost and/or benefit amount. To resolve this alert, navigate to the employee's Compensation screen and enter an annual compensation value for the employee.
- No Longer Eligible for Enrolled Coverage
- Alert will be generated for employees who are enrolled in a coverage that they are no longer eligible for. This alert is only processed once each evening (i.e. is not included in Alert Refresh functionality on Administration Portal Homepage). To resolve this alert, change the employee's coverage by expiring the current coverage and setting a new effective date for the new (eligible) coverage.
- Eligible for Coverage Change
- Alert will be generated for employees who may be eligible for a coverage increase or decrease as a result of a salary change. Only applies to benefits that are configured for such change. This alert is only processed once each evening (i.e. is not included in Alert Refresh functionality on Administration Portal Homepage) To resolve this alert, recalculate the employee's benefit by expiring the current coverage and setting a new effective date for the new cost/benefit amount.
- Credits Exceed Employee Cost
- Alert will be generated for employee whose benefit credits exceed the overall employee cost of benefits (i.e. negative total employee cost)
- Invalid Email Address
- Alert will be generated for employee with an invalid email address
