The "Deductions" tab offers utilities for:
- End-Date Deductions exceeding Benefit Expiration Date
- Expire and Copy Deductions that overlap Benefit Effective Date
- Expand 'Settings' and click Payroll from the menu.
- Click Utilities from the menu bar.
- Click the Deductions tab.
End-Date Deductions exceeding Benefit Expiration Date
This utility allows for the selection of an employer and Benefit Package. Executing the utility will end date all Employee Deduction Records for all employees belonging to that employer if the following is true:
- The Deduction Code has been assigned to a Coverage Option in Settings > Benefit Management > Package > Benefit > Plan > Coverage Option.
- The Employee's Deduction occurs during the range of the selected Benefit Package's Effective and Expiration Date.
Executing this utility with the Deduction Sync turned on will update the affected Deduction Records in Millennium. The goal of this utility is to set any forever end-dated Benefit Deductions to match the package year cycle used in Core HR.
Expire and Copy Deductions that overlap Benefit Effective Date
This utility allows for the selection of an employer and Benefit Package. Executing the utility will end date all Employee Deduction Records for all employees belonging to that employer if the following is true:
- The Deduction Code has been assigned to a Coverage Option in Settings > Benefit Management > Package > Benefit > Plan > Coverage Option.
- An employee's Deduction Record Starts before the employee's Benefit Effective date and ends on or after the employee's Benefit Effective Date.
Executing this utility with the Deduction Sync turned on will update the affected Deduction Records in Millennium. The goal of this utility is to retain the full range of the employee's deduction history while creating a deduction record with start and end dates in sync with the employee's Benefit Election.
Example
Medical Deduction record exists for Employee Sam Sample. The Deduction code is MED, the Start Date is 1/1/2012 and the End Date is 12/31/2015. The employee's Medical Benefit with the matching Deduction Code (MED) begins 1/1/2015 and ends 12/31/2015.
Running this utility for this example will result in two new deduction records. One will be 1/1/2012 - 12/31/2014. The second will match the Benefit Election of 1/1/2015 - 12/31/2015. This will allow the 1/1/2015 - 12/31/2015 benefit record to be modified without resulting in an error indicating the creation of a deduction record will overlap an existing record.
Please note: The "Last Taken Date" will be applied to the more recent of the two deduction records. The more recent of the two deduction records will be the record matching the unique identifier from Millennium, and the other record will be a newly created record in Millennium, only existing to retain the original start date of the deduction record.
