Sync Elected Scheduled E/Ds Only option

Issue

An employee had an active Dependent Care Account amount of $192.30 for his benefit. There was a change to his Dependent Care Account whereby a new benefit range was entered with “I do not wish to contribute” for the coverage making this a waived benefit. After the sync the new deduction was not updated in payroll.

Cause

In the middleware the “Sync elected Scheduled E/Ds only” option was selected, so the “waived” update did not come over through EvoInfinity.

Resolution

iSystems added an option to the Employee transfer to allow the user to sync all Scheduled E/Ds or only those that have been elected and therefore have a dollar amount. Prior to this, all E/Ds were transferred, so unneeded records were created in Evolution. *The option defaults to only bring in the elected Scheduled E/Ds.

Scheduled Syncs

Issue

A Service Bureau is unsure of their options on scheduled syncs.

Cause

If the Service Bureau is managing the sync tool on behalf of their clients how would they handle a scheduled sync? Can this be done on a client by client basis or would it need to be done at the Enterprise level?

Resolution

The 'Scheduled Task' does not keep its own Infinity connection settings, but uses the ones that are set in the tool each time the task is run (Evo Infnity HR -> Settings -> Infinity HR Connection).
So if a Service Bureau checks the Enterprise option, any scheduled task will import all of the companies from the Enterprise level of that Vendor ID. Otherwise it will only import the one company corresponded to the Vendor ID.

To exclude a company or companies from syncing under the Enterprise option, within Infinity you can turn On/Off a company from syncing. This is done by going to Setup > API Dashboard > Web Service Dashboard > Configuration Tab > Active Yes/No option. This option enables or disables the web service integration for a specific company.

Evolution State Marital Status Field

Issue

How does the State Marital Status field in Evolution get populated?

Cause

When adding a new hire in evolution, there are required fields that must be populated before an employee can be saved. In InfinityHR taxes are not required when entering a new hire. If taxes are not entered into InfinityHR no tax information will be transferred to evolution when syncing. All fields will be left blank. There is no warning or error message on the log to signal that this information is missing. If taxes are not being excluded from the synchronization this would need to be handled operationally by the service bureau to ensure the correct setup for each new hire.
In InfinityHR the State Tax record for the employee can be found by going to Employee > Payroll > State tax.

Resolution

Within InfinityHR when entering a State Tax record for an employee, each state configured has specific Filing Statuses. There is mapping in the middle ware that looks at each Filing Status and maps accordingly to the State Marital Status field in evolution.

Multiple Paystubs for an Employee

Issue

Can the sync tool upload multiple paystubs for employees that are in more than one payroll company?

Cause

A client has a restaurant chain where employees can work in 3 different stores (in the same pay period) which are 3 different EINS. Will the sync send back 3 different paystubs for the one HR record?

Resolution

The integration tool just uploads pre-calculated paystubs from Evolution to Infinity. To upload paystubs via EvoInfinityHR the user should select the Evolution Company and a certain check (or payroll or payroll period) to upload paystubs from.

If some employees have checks in multiple companies and you need to upload all of the employee's checks from each company, you should run the upload for each company.

The paystubs will then be uploaded to the employee record in payroll under Employee -> Payroll -> Pay Stubs. They will also be visible on the Employee Portal if this option is turned on. This can be found by going to Setup > Setup Properties > Employee Portal Setup > Employee Portal > Quick Links > Paycheck Stubs.

Uploading W2's to Infinity

Issue

Can W2’s be uploaded from Evolution to InfinityHR?

Cause

W2's need to be processed out of Evolution before they can be uploaded to InfinityHR. The EvoInfinity sync tool will then allow for W2’s to be passed to InfinityHR. Please refer to the Resource Center, Online Help on how this is done via the tool. http://www.hrishelp.com/hris/#pageid=uploading_w-2s

Resolution

Once the Upload Employee W-2 process completes the W2’s will be available in InfinityHR.

The W2’s are stored to the employee record in Infinity under Employee > Employee > Documents.

The employee can view their W-2's via the employee portal under the Documents section.
