Any person who will be using the Arcoro website or the Arcoro app will need to be added as an employee, from the field workers tracking their time to the administrators who will be managing/reviewing time cards. After adding an employee to Arcoro, they will need to be set up with an Arcoro web and/or Arcoro mobile Security Role to determine what they are able to do within Arcoro.
Avoid Emojis
When adding/editing an employee, please do not enter an emoji into the text fields, as it can result in unforeseen issues.
Adding Employees in Bulk
If you need to add multiple employees and do not have SyncLinx, then you can import them in bulk with a CSV file. For more information on this process, you can refer to the following dedicated article.

Adding the Employee
The process for updating an employee will differ depending on whether you are seeing the new Arcoro Unified menu or the Classic menu. Please use the appropriate steps for what you see.
Unified Menu
The Unified menu is part of a larger effort to consolidate all of Arcoro's products into a single platform, allowing you to manage your employees from a single place, and will be the foundation of new features. The fields and options available may differ depending on the Arcoro modules in use.
- Click Add next to the search bar.
- Enter the basic information for the user. Click Add when finished.
-
Person Type - What the user needs to do will determine the type of person:
- Employee - Their employee data goes to all other Arcoro modules immediately, such as Core HR, Arcoro Time, and Talent, as their data must exist within each respective module. Adjust access and permissions as appropriate where defaults do not apply.
- Contractor - Typically for non-employees or those who will only be needed in specific Arcoro modules. No record will be immediately sent to Arcoro products and will require them to be granted appropriate access/permission.
- If they need access to log in to the Arcoro website, enable "Create login". If you would like additional time to set up the user's permissions before they log in for the first time, you can uncheck "Send Invite Email" to send an invite later.
-
Person Type - What the user needs to do will determine the type of person:
- Clicking Edit will put the user's profile into edit mode, where you can update their information, access, and permissions. We will only focus on the primary screens, but you can return later to set up other fields.
- Click the "Time" tab.
- Specify the employee's policy group and time entry method. Save your changes when finished.
- Click Access & Permissions.
- Click Time from the menu on the left-hand side.
-
Make sure the employee is "Active" for Arcoro Time. If the employee needs access to use the Arcoro app or the Arcoro website, assign necessary role(s) in the "Access" section. Save your changes when finished.
- If selecting a Mobile role, you will also need to provide a 4-10 digit PIN.
- If selecting a Web role, you will also need to provide an email in the "General" tab and a username in the "Arcoro Account" section of "Access & permissions".
- If the employee only needs limited access to the Arcoro website or app, you can select the default "Employee" role as it generally covers the basics.

Classic Menu
-
Go to Manage in the Menu bar and click Employees.
-
If the employee already exists, A. click the pencil icon to the left of their name. Otherwise, B. click Add Employee at the top.
-
The "Add Employee" page allows you to enter a wide range of information about an employee. The minimum requirement for an Employee is their first and last name. All other informational fields are optional and can be updated later.
- The ID field can be useful if you use other systems that assign an Employee ID, such as a Human Resources or Payroll system.
- If you have another employee with the same name, you will need to differentiate between them by either entering a middle name, additional information to their name, or with an employee ID.
-
Specify the time tracking method for the employee. If you are unfamiliar with the options, refer to our article here for the differences.
- Timecard (punch based) - This option is selected by default.
- Timesheet (time block)
-
If the employee needs access to ExakTime Mobile or ExakTime Connect, you can assign the necessary role(s) in the "ExakTime Mobile and Connect Access" section.
- When selecting a security role, you may be required to enter additional information such as a 4-10 digit PIN for ExakTime Mobile and/or Email and Username for ExakTime Connect.
- If the employee only needs limited access to ExakTime Connect or Mobile, then you can select the default "Employee" role as it generally covers the basics.
- Only administrators can add another administrator to ExakTime Connect. The "Administrator" role will not be listed in the drop-down menu for non-administrators.
- Click Save if this is the only employee you are adding or Save and New to add another employee.
What to Do After Adding the Employee
- If using the Arcoro app - If the employee has been given Arcoro app access, there will be a short delay while the employee's Mobile PIN information is prepared for Arcoro app use in the background. After the short delay, the employee should be able to sign in to any copy of the Arcoro app.
-
If using the Arcoro website - If the employee does not already have access to the Arcoro website, they will receive a verification email to verify their email, their username, and a link to create their password.
- The link in the verification email is valid for 72 hours. If the employee is unable to verify their account within 72 hours, you will need to resend the verification email. If you are unsure how to do this, you can refer to How to Resend a Verification Email.
