Enabling Time Cards for ExakTime Mobile

Time cards on ExakTime Mobile can allow your employees to review their own time cards and related information such as time record comments, any time records that may require attention, etc. Your leaders, such as supervisors or managers, will also be able to review the time cards of other employees within their viewset. With this option, your employees can be more aware of their own or other time cards and can alert you if there are any issues that need to be addressed. 

Your leaders can also be given permission to edit time cards as well from ExakTime Mobile so they can make adjustments in a pinch. We would still recommend performing a bulk of time card edits on ExakTime Connect as it allows you to view and edit more information such as mobile forms and more.

Granting Permission to Time Cards

Your ExakTime Mobile Security Roles will have the option to allow an employee to access time cards. Simply enable it and once your employees sync their device they will have the option to view their time card. They may need to log out and log back in to see the time card option.

If an employee has been given permission to "Clock In For" other employees, view the time card, and have employees in their viewset, they will be able to view the time card of other employees as well.

  • Go to Manage and click on Security Roles.

  • Add a new security role or select a default/existing security role that should have permission to view Click on any of the default roles that you would like to have access to view their own and/or other time cards on ExakTime Mobile. You can also create a new role.

  • Enable the appropriate 'Time Card' option for the security role. "View" is generally reserved for Employees, while "Edit" and "Delete" are for Managers and Admins.

  • Save any changes.
  • Create additional or adjust other security roles as needed. If you would like more information about security role permissions, you can check out the dedicated article.

What Employees Will See

  • Your employees will see "Time Cards" on the bottom if using iOS or on the top if using Android.

  • Tapping the date range in the top left of the time card allows an employee to view their previous time card. If the employees want to see any time records farther in the past, they will need to view them within ExakTime Connect or consult their ExakTime administrator.

  • Tapping the sync icon EM_-_Time_Card_Sync_Icon.png in the top-right of the time card will refresh the time cards to view the latest time card information.

  • The bottom of their time card will list how current the time card shown is. If it is not current, they can tap the sync icon as shown above. If they are unable to sync their time card to view the latest information, make sure that they have internet access (e.g. mobile data, Wi-Fi, etc.).

  • Each day will have its total hours shown.

  • Tapping on a day of the week will let employees view the time records for the day and any related important information such as time record comments, if a time record requires attention, etc.

  • A red exclamation point icon EM_-_Time_Card_-_Red_Icon.png is shown for any day that contains an incomplete time record. The incomplete time record will also have the icon and will have an hourly/daily total of "0h 0m". The time record will be complete when there is a clock out time, either through ExakTime Connect or ExakTime Mobile.

  • A yellow exclamation point icon EM_-_Time_Card_-_Yellow_Icon.png is shown for any day that may require additional attention, such as a missing meal break. Expanding the day will allow you to see what needs to be done. If there are any issues, you should consult your ExakTime Administrator for the next steps.

  • The employee will see a grayed-out "0h 0m" if there are no hours for the day.

  • Tapping anywhere along a date will expand and show the breakdown for the day. Tapping it again will collapse it.

What Supervisors Will Do

If a supervisor has other employees in their viewset, they will have an employee icon EM_-_Time_Card_-_Employee_Icon.png above the time cards to view other empoyees time cards.    they will also be able to view their time cards for review.

The supervisor would tap the small employee icon EM_-_Time_Card_-_Employee_Icon.png towards the top-right to select the employee(s) that they need to view. The supervisor would tap Employees, select the employees to view, then tap Done.

 Crews/Groups vs. Employee Viewsets

When using the employee crews/groups in conjunction with employee viewsets, crews/groups will ignore viewsets and will show the supervisor all the employees of a group, even if an employee is not part of their viewset normally.

Editing Time Cards on ExakTime Mobile

Requirements to Edit Time Cards

To edit an employee's time card on ExakTime Mobile, the supervisor and the time card must meet the following requirements:

  • Using ExakTime Mobile version 2.84 and up.
  • The employee must have the appropriate permission.
  • The Mobile Device must have internet access.
  • The time card cannot be approved.
  • The pay period cannot be closed. 

Adding Time

  • Tap Add Time on the right-hand side of the employee's name.

  • Enter the appropriate information for the time record.
    • Use the Clock Out option if this is the final time record for the employee or if they are no longer tracking their time, such as for an unpaid break or personal time.
    • If the employee is continuing to work, then you will only need to enter a clock in time. The clock out time will be automatically filled in with the employee's subsequent clock in.

  • Tap Save when finished.

Editing a Time Record

  • Tap Edit towards the right of a time record.

  • Edit the appropriate information for the time record.
    • Modified fields will be noted with "Changed".
    • Use the "Clock Out" option if this is the final time record for the employee or if they are no longer tracking their time, such as for an unpaid break or personal time.
    • If the employee is continuing to work, then you will only need to enter a clock in time. The clock out time will be automatically filled in with the employee's subsequent clock in.

  • Tap Save when finished.

Deleting a Time Record

  • Click Delete Time towards the bottom-left of a time record.

  • Confirm the deletion of the employee's time record.

Warnings & Restrictions

Depending on your time card time entry settings, mobile time card editors may see warnings and restrictions when trying to add/edit time records. If you want to see/adjust your time card time entry settings, you can refer to the following article.

The warning will let them know if the time record will exceed a certain threshold. They can still add the time record, but just be aware that may be longer than expected.

The restriction will prevent them from adding/editing a time record that exceeds a certain threshold.
