Manage/Approve Time - Scheduling for Managers in Core HR

The "Scheduling" tab allows managers to:

  • Schedule an employee's workday with a visual calendar.
  • View a summary of employee schedules.
  • Generate schedules based on an employee's shift.
  • Set up the threshold to receive alerts for employees who are late, leave early, or are approaching overtime.

Menus and options available will differ depending on what has been configured by your Administrator. If you need assistance with something you cannot interact with, consult your Administrator first. 

Navigating to Scheduling
  • Expand Manager Links and click Manage/Approve Time from the menu.

  • Or click the number from the "Management" widget on the Employee Portal homepage.

  • Click the Scheduling tab.

The "Scheduling" tab provides the following tabs:

Primary Filter

The top of the page will allow you to filter schedule data by the manager, year, schedule, and pay period. The "Manager" filter defaults to the manager currently logged in.  The pay period is also important to show the correct schedule summary.

Visual Scheduler

The "Visual Scheduler" tab allows you to schedule employees with a horizontal visual calendar by clicking and dragging across the calendar. 

Scheduling an Employee

  1. Select the manager or --All Managers-- to filter what employees are available for the following step.

  2. Select the appropriate date range from the calendar to the left.

  3. Scroll horizontally to view the appropriate date with the grid to the right.
  4. Click and drag across the calendar for the hours an employee will be scheduled. You can make further adjustments to the employees' scheduled work time after. You can also click anywhere you want the schedule to start to open the menu.

  5. A menu will open for you to specify the start/end time, pay groups, and more. Click OK when finished.

    • Start Date/Time

  6. The scheduled item will appear on the "Visual Scheduler" tab. You can hover over the scheduled item to view additional details.

Editing or Deleting a Scheduled Item

You can right-click to edit the details of a scheduled item. If editing or deleting a scheduled item generated through the "Schedule Genreation" tab, only the single instance will be affected.

Scheduler Summary

The "Scheduler Summary" tab will present the number of employees and total hours that have been scheduled based on their pay group and shift name. The "Employee Detail" section will provide a day-by-day summary of the hours to be worked by employees. 

The "Scheduler Summary" tab will show schedules from the pay period filtered at the top of the page.

The "Employee Detail" allows you to filter the employees by their pay group and shift.

Schedule Generation

The "Schedule Generation" tab allows you to delete, generate, and copy employee schedules for a given date range.

Schedule Generation

If an employee has a default shift specified for them, you can generate their shifts in bulk to get them scheduled.

  1. Specify the start and end date.
  2. Enable "Delete schedules for the selected date range" to delete any existing schedules for the given date range.
  3. Enable " Generate schedules for the selected date range" to generate schedules for employees based on their shifts. If "Delete schedules for the selected date range" is also enabled, it will apply first before generating schedules.
  4. Click Execute Utility.

Schedule Copy

"Schedule Copy" allows you to copy schedules from one date range to another. The date ranges need to be equivalent in length, so a 7-day range can only be copied to another 7-day range.

  1. Specify the date range to copy from.
  2. Specify the date range to copy the schedule to.
  3. Click Copy Schedule.

Alerts

The "Alerts" tab allows you to specify the threshold before you have an alert of an employee being late, leaving early, or approaching overtime.
