Completing Change Events from Employee Portal for Core HR

Change Events in Core HR allows you to go through a series of steps to provide or update employee information, such as, but not limited to:

  • Open Enrollment to enroll in medical benefits.
  • Updating benefits due to a qualifying life event.
  • Update your demographic information, such as your home phone and address.
  • Updating direct deposit information.

The change events available and the steps of a change event will depend on what has been made available by your Core HR administrator. If you do not see a change event that matches your situation, consult with your Core HR administrator.

In our examples below, we are progressing through an Open Enrollment event.

Starting a Change Event

  1. The "Change Events" tile is typically found on the home page of the employee portal. You will be able to select the appropriate change event from the dropdown menu.

  2. After selecting the change event, click the appropriate button to either:
    • Begin/Continue Event - Start a new event or continue from a change event already in progress.
    • Reset/Begin Event - Reset a change event already in progress and start from the beginning.
    • Cancel Event - Cancel the change event in progress.
  3. Progress through the steps of the selected change event. The steps and content the steps will differ between change events and what your Core HR administrator has configured. Click Save & Continue or Continue to progress through the steps as appropriate.

  4. Instructions - The instructions will be the first step and will instruct you how to properly progress through the change event.

  5. Acceptance - The acceptance step is where you will review the information, terms, and accept before progressing further. Click I Accept and wish to Continue when ready.

  6. Event Date - If the change event requires an event date, specify the date the qualifying life event occurred, such as marriage, moving, birth, etc.

  7. Personal - Depending on the change event, you will either review or edit your personal information. If you are unable to edit your personal information, you must contact your Core HR administrator to update your personal information.

  8. Dependents - Review the dependents currently entered for your profile and click Add Dependent to add additional dependents. Click Edit to update existing dependents. Dependents cannot be deleted from this tab.

  9. Benefits - Review benefit instructions, summary documents, video, and benefits you will elect. Linked resources will open in new tabs/windows or downloadable documents, so you will not be interrupted in your event. Health Insurance is mandatory in the states/districts of California, Massachusetts, New Jersey, Rhode Island, Vermont, and the District of Columbia unless eligible employees can show proof of existing health coverage. Please see the plan details for specific information regarding each offered health plan.

  10. Beneficiaries - Select the beneficiaries of your elected life benefits, beneficiaries, and distribution. Spouse and child life benefits will not be listed as they will default to the employee being the beneficiary. When selecting beneficiaries, primary beneficiaries are required, with secondary being optional. The percentage total for primary beneficiaries must each equal 100%. If secondary beneficiaries are selected, their percentage must always equal 100%.

  11. Emergency Contacts - Review your emergency contacts and add/update your beneficiaries as appropriate. There must be at least one emergency contact for the employee. The "Select Emergency Contact" checkbox must be enabled for the appropriate emergency contact(s) to be valid. A secondary phone number is required for the emergency contact(s), but it does not have to be unique and can be the same as the primary phone number.

  12. Review - Review each section displayed correctness. Click Save & Confirm if the information is correct. If the information is not correct, review the previous tabs and make the appropriate corrections.

  13. Confirmation - The final tab will be a  confirmation message that the change event has been recorded. If the change event does not require administrative approval, it will be approved automatically. Otherwise, you must wait for the administrator to approve the change event. Click Return to my Homepage.

  14. The "Change Event" tile will reflect if the change event is still awaiting approval.
