5/2023 ExakTime Connect Release Notes - Time Off Enhancements

Arcoro is excited to announce ExakTime Connect Time Off enhancements for 5/2023 for our customers and partners. This update includes new settings to provide flexibility for our customers to create and manage the time off plans their company uses. This article will describe the software updates and provide details to help you get started with these enhancements.

Enhancements

Time Off Plans

Manual type accrual method - The Manual accrual method is for plans where employees' balances will be updated by setting an initial balance upon employee assignment and manual update by an administrator to add or remove balance as needed. Completed time off requests will deduct from balances in this plan.

Balance Reset Setting - On a user-supplied calendar day, employee balances will be reset to a value per tier if the employee’s balance on that date exceeds the balance reset value. This setting will be used if employees are only permitted to roll over a certain number of hours per year. Balance reset is available for per pay period, hours worked, and manual accrual methods.

Unpaid Time Setting - This setting will mark Time Off plans as unpaid time. Timecards created by approved requests in plans with unpaid time will see hours applied to the unpaid hours type. These hours will not be counted towards regular worked hours, nor will they export via Accountlinx. This setting is available for all accrual methods.

Plan Tiers by Months - This setting will allow configuration of plan tiers by months. This setting will be used by companies who’ employees are allocated different accrual rates by months of service based on their hire date.

Add Starting Balance in Bulk - This feature will allow plan administrators to assign a starting balance to multiple employees via the Add Employee page for when assigning employees to plans.

Accrual Log - The Accrual Log will provide plan administrators visibility in the events that will impact employee balances. The system events include:

  • System Accrual - For per pay period and hours worked accruals, when a pay period is closed, a row per employee assigned to be plan will show the increase in balance per their tier plan. If a pay period is re-opened the row per employee will show a decrease as the system reverts the balance previously applied.
  • Request Adjustment - When an approved time off request is transitioned to the completed state, a row per request will show the balance deductions per request. A request transitions to completed when the pay period the start date of a time off request is within is closed.
  • Manual Balance Adjustment - A row per employee will show when a time off administrator makes a manual balance adjustment to employee to add or deduct hours.
  • Balance Reset - A row per employee will show when the balance reset event occurs.

Each event will contain the created date of the event, the employee's name and ID, the event type, starting balance prior to the event, ending balance after the event, and the hours adjusted during the event. The comments column will display comments from manual balance adjustments.

Export to Excel - The Accrual Log will be available to export to an excel file.

Time Off Requests

Updated to Canceling a Request - With the May release, any user with approved time off permission will be able to cancel a pending or approved request for employees within their viewset. This update will help in scenarios where an employee is unable to cancel their own request in an appropriate time frame for the payroll administrators to correct their timecards prior to payroll export.

All Request Grid Export - The All-Requests grid is now able to be exported to an excel file. The export will request any search or filters applied to the grid.

User Experience Update

Quick Search bars have been added to multiple grids for a better employee search experience. The search bar and grid filters can be used in conjunction with each other.

Filter Icons have been updated to always appear visible for grid columns that are filterable. Prior to this release the icons only appeared when hovered over with cursors. This update makes the visual experience clearer when a column can be filtered.
