Setting Up AccountLinx for AccuBuild

With AccountLinx, you can export your employees' time data from ExakTime Connect into a compatible file for AccuBuild. As AccuBuild may be customized to fit your company's needs, it is possible that the default AccountLinx export for AccuBuild will not match your AccuBuild setup exactly. Please read through this article before setting up AccountLinx to understand what is needed ahead of time.

Keep in mind, however, that we are not AccuBuild support. We will try to help you as much as we can, but there are aspects of AccuBuild that are out of our area of expertise and your questions may be better answered by AccuBuild support or your trusted contact to answer/assist.

Selecting AccuBuild as your Exporter

  1. Go to Tools and click Exporter Settings...
  2. The Exporter Settings window should open. Click Select Exporter...
  3. A window with a list of available exporters should open. Select "AccuBuild" and click OK.

AccountLinx Settings Unique to AccuBuild

The AccuBuild export for AccountLinx offers a variety of settings when exporting your time data to help tailor the time data to your company's needs. These settings are unique to AccountLinx and will not affect ExakTime Connect or Mobile. If any of the settings offered do not sound familiar to you, you may not be using the setting in AccuBuild and can leave it as <None>. 

  1. Go to Tools and click Exporter Settings...
  2. The Exporter Settings window should open. Click Configure....
  3. The Configuration window should open. You should see the following options:
    • Required Settings
      • Regular Earnings Code - Enter the earning code from AccuBuild that would be appropriate for regular time worked by employees.
      • Overtime Earnings Code - Enter the earning code from AccuBuild that would be appropriate for overtime worked by employees.
      • Overtime 2 Earnings Code - Enter the earning code from AccuBuild that would be appropriate for overtime 2 (doubletime) worked by employees.
      • AccuBuild Version - Specify the version of AccuBuild in use by your company. The version selected may offer additional fields.
    • Optional Settings
      • Map Phase To - Specify if phases should be associated with Locations or Cost Codes. A new column for the selected "Map X" window will appear.
      • Department Code To - Specify if departments should be associated with Employees, Locations, or Cost Codes.  A new column for the selected "Map X" window will appear.
      • State Code To - Specify if the state code should be associated with Employees, Locations, or Cost Codes.  A new column for the selected "Map X" window will appear.
      • Workers Comp Code To - Specify if the workers comp code should be associated with Employees, Locations, or Cost Codes.  A new column for the selected "Map X" window will appear.
      • Union Code To - Specify if a union code should be associated with Employees, Locations, or Cost Codes. A new column for the selected "Map X" window will appear.
      • Certified Job To - Specify if the certified job field should be associated with a Location. A new column for the "Map Location" window will appear.
    • Comments/Notes
      • Specify if the comments from the employee, location, cost code, or time record should be exported with the time data. This option is only available if you are using AccuBuild version 10 or above.
  4. Click OK on the Configuration window and click OK on the Exporter Settings window to return to the main page of AccountLinx.
  5. Click the appropriate "Map Employee/Location/Cost Code" option to see the columns from the options enabled in Step 3.

General Use of AccountLinx

After setting up the configuration of AccountLinx to better match AccuBuild in the previous section, you will need to:

  • Map your entities so any time data associated with an ExakTime entity will match with an AccuBuild entity and fill in any relevant fields enabled in the previous section. Refer to the following article if you are unfamiliar with mapping your data in AccountLinx.
  • After mapping your entities, you can export your time data for AccuBuild. Refer to the following article if you are unfamiliar with exporting time data from AccountLinx.

Example of AccountLinx Export

An example of an AccountLinx export opened in Excel has been provided below. The columns have been preformatted based on AccuBuild's template. The presented values can differ depending on your Excel settings and the AccuBuild version.

While you can manipulate the exported data after it has been exported, it is highly discouraged as it can result in data discrepancies when double-checking any data.

How to Import Time Data into AccuBuild

While we have provided the steps to import time data into AccuBuild below, it is recommended to consult with AccuBuild for assistance with importing time data as they are more knowledgeable of their best practices. 

If you need assistance, please feel free to contact us, but please keep in mind that we are not AccuBuild support. Setting Up Import File Specification

  1. In AccuBuild, navigate to Payroll, the Properties, then Time Card Import.
  2. Fill in the codes for Reg Pay, OT @ 1.5, and OT @ 2.0 to match the values as entered in AccountLinx.
  3. Set the ASCII File to the file that you exported from AccountLinx.
  4. Set the ASCII Spec File to be:
    • C:\Program Files\Exaktime\AccountLinx\ExportFileSpecifications\AccuBuild\AccubuildAccountLinxSpec.txt
  5. Click OK to import the file.

Importing Time Records

  1. In AccuBuild, navigate to Payroll, then go to Enter/Update Time Cards.
  2. Fill in the "Period Beginning" and "Ending" dates and click Import Time Records.
  3. On the "Import Time Card Records" window, you should see the "Import File Specifications" filled out to match what you created in the Setting Up the Import File Specification section above. Click Import Records.
  4. An import log will appear in the top half of this screen. Review the import log before closing the screen to note any errors or warnings so that the time card entries can be edited if necessary. A log of the import process will be saved as primport.txt. This file can be opened in NotePad and printed if desired.

    When the import process is finished, the time card front end screen will be closed automatically in order to save all of the import records properly. When this screen is reopened, all of the import records will exist in the current batch for further editing and processing.
