Setting Up AccountLinx for Evolution Generic TimeClock

With AccountLinx, you can export your employees' time data from ExakTime Connect into a compatible file for Evolution Generic TimeClock. As Evolution may be customized to fit your company's needs, it is possible that the default AccountLinx export for Evolution will not match your Evolution setup exactly. Please read through this article before setting up AccountLinx to understand what is needed ahead of time.

Keep in mind, however, that we are not Evolution support. We will try to help you as much as we can, but there are aspects of Evolution that are out of our area of expertise and your questions may be better answered by Evolution support or your trusted contact to answer/assist.

Selecting Evolution as your Exporter

  1. Go to Tools and click Exporter Settings...
  2. The Exporter Settings window should open. Click Select Exporter...
  3. A window with a list of available exporters should open. Select "Evolution" and click OK.

AccountLinx Settings Unique to Evolution

The Evolution export for AccountLinx offers a variety of settings when exporting your time data to help tailor the time data to your company's needs. These settings are unique to AccountLinx and will not affect ExakTime Connect or Mobile. If any of the settings offered do not sound familiar, you may not be using the setting in Evolution and can leave it as <None>. 

  1. Go to Tools and click Exporter Settings...
  2. The Exporter Settings window should open. Click Configure....
  3. The Configuration window should open. You should see the following options:
    • Required Settings
      • Regular Earn Code - Enter the default Regular earn code as used in Evolution.
      • Overtime Earn Code - Enter the default Overtime earn code as used in Evolution.
      • Overtime2 Earn Code - Enter the default Overtime2 (doubletime) earn code as used in Evolution.
    • Other Export Options
      • Map Shift to - Specify which entity the shift should be associated with. The related mapping screen will have additional fields for you to complete.
      • Rate Number to - Specify which entity the rate number should be associated with. The related mapping screen will have additional fields for you to complete.
      • Workers Comp to - Specify which entity the workers comp should be associated with. The related mapping screen will have additional fields for you to complete.
      • Override Rate to - Specify which entity the override rate should be associated with. The related mapping screen will have additional fields for you to complete.
      • Override Division to - Specify which entity the override division should be associated with. The related mapping screen will have additional fields for you to complete.
      • Override Branch to - Specify which entity the override branch should be associated with. The related mapping screen will have additional fields for you to complete.
      • Override State to - Specify which entity the override state should be associated with. The related mapping screen will have additional fields for you to complete.
      • Override Local to - Specify which entity the override local should be associated with. The related mapping screen will have additional fields for you to complete.
    • Use Override Department and Team
      • Certified Job to - Specify which entity the certified job should be associated with. This option must be enabled for the following two to be available. The related mapping screen will have additional fields for you to complete.
      • Override Dept to - Specify which entity the override dept should be associated with. The related mapping screen will have additional fields for you to complete.
      • Override Team to - Specify which entity the override team should be associated with. The related mapping screen will have additional fields for you to complete.
    • Use Override Earn Codes
      • Map Earn Codes to - Specify if an alternate earn code should be associated with specific employees, locations, or cost codes. This allows particular employees, locations, or cost codes to have an alternate set of earn codes when exported. The related mapping screen will show fields to enter the earn code that should be associated with exported time records. If an entity does not have an alternate earn code, it will use the default earn code instead.
  4. Click OK on the Configuration window and click OK on the Exporter Settings window to return to the main page of AccountLinx.
  5. Click the appropriate "Map Employee/Location/Cost Code/Equipment" option to see the columns from the options enabled in Step 3.

Special Consideration

All of the "Override" fields will override the employee defaults in Evolution. Also note that "Override Branch" requires that "Override Division" is also set, and that "Override Team" requires that "Override Dept" and "Certified Job" are also set.

General Use of AccountLinx

After setting up the configuration of AccountLinx to better match Evolution in the previous section, you will need to:

  • Map your entities so any time data associated with an ExakTime entity will match with a Evolution entity and fill in any relevant fields enabled in the previous section. Refer to the following article if you are unfamiliar with mapping your data in AccountLinx.
    • When performing your mappings, if you are using the Override Team and Override Dept functions, these values will only be used when Certified Job is checked for that job.
  • After mapping your entities, you can export your time data to import into Evolution. Refer to the following article if you are unfamiliar with exporting time data from AccountLinx.

An example of an AccountLinx export has been provided below. The data have been preformatted based on Evolution's template. The presented values can differ depending on your settings.

While you can manipulate the exported data after it has been exported, it is highly discouraged as it can result in data discrepancies when double-checking any data.

How to Import Time Data into Evolution

It is recommended to consult with Evolution for further assistance with importing and using the time data as they are more knowledgeable of utilizing their system.
