Setting Up AccountLinx for Famous

With AccountLinx, you can export your employees' time data from ExakTime Connect into a compatible file for Famous. As Famous may be customized to fit your company's needs, it is possible that the default AccountLinx export for Famous will not match your Famous setup exactly. Please read through this article before setting up AccountLinx to understand what is needed ahead of time.

Keep in mind, however, that we are not Famous support. We will try to help you as much as we can, but there are aspects of Famous that are out of our area of expertise and your questions may be better answered by Famous support or your trusted contact to answer/assist.

Selecting Famous as your Exporter

  1. Go to Tools and click Exporter Settings...
  2. The Exporter Settings window should open. Click Select Exporter...
  3. A window with a list of available exporters should open. Select "Famous" and click OK.

AccountLinx Settings Unique to Famous

The Famous export for AccountLinx offers a variety of settings when exporting your time data to help tailor the time data to your company's needs. These settings are unique to AccountLinx and will not affect ExakTime Connect or Mobile. If any of the settings offered do not sound familiar, you may not be using the setting in Famous and can leave it as <None>. 

  1. Go to Tools and click Exporter Settings...
  2. The Exporter Settings window should open. Click Configure....
  3. The Configuration window should open. You should see the following options:
    • Default Earning Codes
      • Regular - Enter the regular earning code as used in Famous.
      • Overtime - Enter the overtime earning code as used in Famous.
      • Overtime2 - Enter the overtime 2 (doubletime) earning code as used in Famous.
    • Use Alternative Earning Codes
      • Map Earning Codes to - Specify if an alternate earning code should be associated with specific employees, locations, or cost codes. This allows particular employees, locations, or cost codes to have an alternate set of earning codes when exported. The related mapping screen will show fields to enter the earning code that should be associated with exported time records. If an entity does not have an alternate earning code, it will use the default earning code instead.
    • Required Settings
      • Map State Code to - Specify which entity the state code should be associated with. The related mapping screen will have additional fields for you to complete.
        • While the State Code will appear on the mapping screen that is selected, it is not intended to be filled in manually and will be filled in using the State Code field from the address of the location.
      • AG Flag to - Specify which entity the AG flag should be associated with. The related mapping screen will have additional fields for you to complete.
    • Cost Center Settings
      • Map Cost Center to - Specify which entity the cost center should be associated with. The related mapping screen will have additional fields for you to complete.
        • If Cost Center is mapped, Phase or Grower Block needs to be mapped.
        • If Cost Center Settings mapping exists (unless Lot field, because it doesn't affect anything), Department and GL Account need to be None.
      • Grower Block to - Specify which entity the grower block should be associated with. The related mapping screen will have additional fields for you to complete.
        • If Grower Block is mapped, Phase or Cost Center needs to be mapped.
      • Phase to - Specify which entity the phase should be associated with. The related mapping screen will have additional fields for you to complete.
      • Lot to - Specify which entity the grower block should be associated with. The related mapping screen will have additional fields for you to complete.
    • Department/GL Account Settings
      • Map Department to - Specify which entity the department should be associated with. The related mapping screen will have additional fields for you to complete.
        • If Department is mapped, GL Account needs to be mapped.
        • If Cost Center Settings mapping exists (except Lot field), Department and GL Account need to be None and vice-versa.
      • GL Account to - Specify which entity the GL Account should be associated with. The related mapping screen will have additional fields for you to complete.
        • If DL Account is mapped, Department needs to be mapped.
        • If Cost Center Settings mapping exists (except Lot field), Department and GL Account need to be None and vice-versa.
    • Other
      • Map Rate to - Specify which entity the rate should be associated with. The related mapping screen will have additional fields for you to complete.
      • Crew worked to - Specify which entity the crew worked should be associated with. The related mapping screen will have additional fields for you to complete.
  4. Click OK on the Configuration window and click OK on the Exporter Settings window to return to the main page of AccountLinx.
  5. Click the appropriate "Map Employee/Location/Cost Code/Equipment" option to see the columns from the options enabled in Step 3.

General Use of AccountLinx

After setting up the configuration of AccountLinx to better match Famous in the previous section, you will need to:

  • Map your entities so any time data associated with an ExakTime entity will match with a Famous entity and fill in any relevant fields enabled in the previous section. Refer to the following article if you are unfamiliar with mapping your data in AccountLinx.
  • After mapping your entities, you can export your time data to import into Famous. Refer to the following article if you are unfamiliar with exporting time data from AccountLinx.

Example of AccountLinx Export

An example of an AccountLinx export has been provided below. The data have been preformatted based on Famous's template. The presented values can differ depending on your settings.

While you can manipulate the exported data after it has been exported, it is highly discouraged as it can result in data discrepancies when double-checking any data.

How to Import Time Data into Famous

The "Famous Payroll Crew Entry" module must be activated in order to import payroll transactions. 

  1. Place the file to be imported in the \\servername\famous60\database\export (where "servername" is the server that contains the Famous database).
  2. Run Famous and open Payroll Transaction Import under Payroll > Daily Work.
  3. Enter the file name and extension.
  4. The import process generates an error log for any entries that Famous could not successfully import. Famous places the error log in the same location as the import file. The error log has the same name with a .err file extension. Should all or part of the import fail, repair any problem records directly in the .err file and import the .err file in Payroll Transaction Import.

It is recommended to consult with Famous for further assistance with importing and using the time data as they are more knowledgeable of utilizing their system.
