The Journey of an Offer Letter in the ATS and Onboarding

The 'Offer Letter' is first created in the Applicant Tracking System when your candidate has completed your applicant process. When the offer letter has been accepted and the candidate is hired, it can then follow the candidate as they complete their new hire paperwork and will reside in the Electronic Filing Cabinet of Onboarding as its final destination.

The offer letter will not transfer to other pages or Arcoro modules such as Core HR.

Sending an Offer Letter

  1. Once a candidate has reached the 'Offer' stage of the hiring process, the 'Manage Applicant Offer Letters' button will appear under the 'Actions' column.

  2. Click the 'Manage Applicant Offer Letters' button to manage the applicants offer letter(s).

  3. The 'Manage Applicant Offer Letters' page allows you to review any existing offer letters, their status, create new offer letters, and manage existing letters.

  4. You can click 'Add New Offer Letter' to send the candidate a new offer letter.

  5. The Offer Letter wizard will take you through creating an offer letter. Progressing through these steps will allow you to use premade email and offer letter templates, create an original email/offer letter, and provide additional information for mail merge fields such as Onboarding Managers, Locations, Pay Amount, and more. Only one offer letter can be active at a time. If you need to send a new offer letter while one is still active, the previous offer letter must be rescinded first.

Applicant Accepts the Offer letter

  1. The applicant should receive the offer letter email with a button to launch/open the offer letter.

  2. The offer letter will open in a new tab/window. The candidate can click 'Accept', enter any additional comments, and click 'Submit Response'.

  3. The candidate will be asked to confirm that they are accepting the offer.

  4. After the candidate accepts the offer letter, appropriate users will receive an email confirmation that the candidate accepted the offer letter and the 'Manage Applicant Offer Letters' page will reflect the same. The offer letter and offer response can be further reviewed from the 'Actions' menu.

From ATS to Onboarding

The applicant must accept and sign the offer letter before you transfer the applicant to Onboarding. If you transfer the candidate to Onboarding before the offer letter is signed, the offer letter document transferred into the Electronic Filing Cabinet may not contain the completed digital wet signature. Any changes/signatures completed afterward in ATS do not retroactively update the document already stored in Onboarding.

  1. Once a candidate has reached the 'Hired' stage of the hiring process, the 'Manage Applicant Post-Hire Process' button will appear under the 'Actions' column for you to click.

  2. The 'Manage Applicant Post-Hire Process' will allow you to include the offer letter and set up additional fields for Onboarding.

Reviewing the Offer Letter in Onboarding

  1. Once the candidate has been added into Onboarding as a new hire, they will receive an email to create their account and complete their paperwork.

  2. Their offer letter will reside in the 'Electronic Filing Cabinet' of Onboarding for you to refer to in the future.
