If your Core HR and Onboarding modules have been integrated, you can use up to seven custom user defined fields in Core HR to share and use in Onboarding. The shared fields are created first in Core HR and can be selected as custom fields for Onboarding for your employees or managers to utilize.
In Core HR
The fields must be created in Core HR first and up to seven custom fields can be used for Onboarding. When creating the custom fields in Core HR, keep in mind that Core HR does not offer a date option, only a drop-down, radio buttons, or text.
If you are unfamiliar with user defined fields, you can refer to either of our dedicated resources below:
- User Defined Fields for free-form text entry.
- User Defined Look Up Fields for a drop-down menu or radio button selection.
After the user defined field(s) are created in Core HR, they will be immediately available for use in Onboarding.
In Onboarding
- Click Administration from the top menu bar of Onboarding.
- In the Administration menu, click the Custom Fields tab.
- After setting up the user defined field(s) in Core HR, click Add Shared Custom Fields.
- Use the provided drop-down field to select the Core HR User Defined Field to use. If the field is required in Core HR, it will be marked as required in Onboarding as well but can be unchecked as required.
- After a shared field has been added, it will be listed in the fields list with a "Yes" label under the "Shared" column.

Maximum Shared Fields
If you have reached the maximum number of shared fields between Employee and Manager fields or do not have any other available fields to share, the "Add Shared Custom Fields" buttons will be grayed out.
You will need to either add additional User Defined Fields in Core HR to enable the ‘Add Shared Custom Fields’ if you are under the maximum amount or remove a User Defined Field(s) to free up one of the seven available if you have reached the maximum amount.
Removing a Shared Field
When removing a shared field, you will receive a confirmation window that indicates that the shared field can be removed, but it will not affect Core HR.
