Creating an Employee Anniversary Workflow for Core HR

Creating a workflow that triggers based on an employee's anniversary date can help you automatically assign workflows, send communications, kick off processes for your organization, and more. Creating this  workflow will require you to set up two parts. The first is to create an eligibility rule detailing which anniversary you will want it to trigger on and any other qualifiers the employee must meet. The second is to create the workflow itself to trigger every day but only target the people who are having the anniversary.

Create Eligibility Rule

The first thing you will want to do is create the eligibility rule for the anniversary you wish to capture. For our example, we will create an eligility rule for an employee's 3 month anniversary.

Navigating to Eligibility Rules
  • From the menu, expand Setup and click Setup Properties.

  • Click Eligibility Rules from the top menu bar.

  1. Go to the Actions drop-down menu and click Create Eligibility Rule Record.

  2. Name an appropriate rule name. Click Save & Continue.

  3. On "Step 2 - Enter Rule Details". use the provided drop-down fields to set up the following rules for the work anniversary:
    • Set Field to "Days of Service"
    • Set Qualifier to "Equal To"
    • Set the Value to the number of days for the anniversary. For our example, it will be 90 days for 3 months.

  4. Add more qualifiers to this rule if necessary to ensure the rule applies to the correct employees.
  5. Click Save Rule Detail when finished.

Create Workflow

Now that we have our eligibility rule for employees, we can create the workflow that will trigger if the employee meets the criteria for the eligiblity rule.

Navigating to Workflow Management
  • Expand Settings and click Workflow Management from the menu.

  1. From the Actions drop-down menu, click Create Workflow. or

  2. Name the workflow and set the trigger to:
    • Select "Time based"
    • Set Frequency to "Daily"
    • Set the date for the workflow to start.
    • Choose the eligibility rule you just created from the dropdown menu.

  3. Click Add/Save Workflow from the top of the page.
  4. Create your workflow steps in "Step 2 - Configure Steps" for what you want your workflow to accomplish.

When your workflow is completely configured, it will trigger the workflow every day to look for employees who are on the anniversary date you set in the eligibility rule. If they qualify on the annivesary date, the workflow will be automatically assigned to them.
