Pay Schedules in Payroll

A pay schedule refers to the predetermined timetable on which employees are paid. It outlines the frequency and timing of pay periods, such as weekly, bi-weekly, or semi-monthly.

Some businesses may require custom schedules based on specific needs (e.g., hourly workers vs. salaried workers, or industry-specific pay cycles).

Arcoro Payroll offers customizable pay schedules that can be tailored to suit various roles or business requirements.

Pay Schedules are found by expanding Setup and clicking Pay Schedules in Payroll.

Existing Pay Schedules

The 'Pay Schedules' section will show any pay schedules that have been previously set up.

The pencil icon can be used to rename an existing pay schedule.

Reminder: If you change the name of your pay schedule, make sure to initiate a data sync from Payroll to ExakTime to ensure ExakTime is updated accordingly.

The Green icon will display the upcoming 13 pay dates.

Tip: If you wish to see more pay dates, there is a report titled Pay Schedules in the Reports section of Payroll.

Please note that pay schedules cannot be deleted after they are created. If you create a pay schedule that has never been used, submit a ticket to the Arcoro Support team and they can remove the schedule on your behalf.

Create a New Pay Schedule

  1. Expand Setup and click Pay Schedules.

  2. Click New Pay Schedule.

  3. Fill in the new pay schedule information.

    • Pay Group - This is the name of the pay frequency. For example, "Warehouse Weekly" or "Bi-weekly Servers". 
    • Pay Frequency - This dropdown will be the expected frequency. Choose from:
      • Annually
      • Quarterly
      • Monthly
      • Semi-Monthly
      • Bi-weekly
      • Weekly
    • First Payday - This is the first expected payday for the company. 
    • First Period End - The date of the last day work was performed before the payday.
  4. When created, pay schedules will avoid scheduling paydays on weekends or holidays. These paydays and approval dates will automatically update based on holidays and weekends.
    • If you want to check if a pay date is affected by a holiday, click the Green table icon on the Pay Schedules screen, and refer to the column labeled "Impact by Weekend or Holiday."

    • If you’d like a different pay date, the pay date can be changed when the payroll batch is created
  5. Click Save when finished.
  6. After creating the pay schedule, you must initiate a data sync from Arcoro Payroll to ExakTime.
  7. Once the pay schedule is synced with ExakTime, employees can be assigned to it in the Rate Code Policies section of ExakTime.
