While reviewing an employee's time card, you may notice a red i icon next to the employee's start and stop times. This red icon indicates that the GPS data associated with the time punch places the employee outside the GeoFence of the location for the time record. We have listed some common reasons why a time punch would indicate the employee was outside of a location's GPS for you to address as appropriate such as:
- Incorrect Location Selected
- Employee Outside GeoFence
- Employee Clocked In By Another User
- Location Has Incorrect GeoFence
- Traveling to Location
Incorrect Location Selected
The simplest reason for a red i icon is that the employee selected the wrong location while clocking in. After the location for the time record is corrected, the red i icon will change to the green i icon if the employee's GPS position falls within the new location's GeoFence.
ExakTime Mobile can try to mitigate employees selecting the wrong location by:
- ExakTime Mobile will automatically show locations where the device is within the GeoFence at the top of the list and also show a green crosshair symbol for any location the device is within.
- Enabling GeoFence Warnings/Restrictions allows ExakTime Mobile to restrict/prevent employees from clocking in/out of known GeoFences to help employees make the correct choice.
Employee Outside GeoFence
Another simple explanation is the employee was outside of the GeoFence when they clocked in/out. The Map View in ExakTime can help confirm if an employee was outside the GeoFence of the location and where they were.
Enabling GeoFence Warnings/Restrictions can mitigate these situations by allowing ExakTime Mobile to restrict/prevent employees from clocking in/out of known GeoFences to help employees make the correct choice.
Employee Clocked In By Another User
If a user such as a supervisor uses the "Clock For" function to clock in/out on behalf of another employee, the GPS associated with the time punch will be based on the supervisor's position. If the supervisor is not within the GeoFence of the location at the time of using "Clock For", the employee's time punch will show the red i icon.
You can double-check this by:
- Review the "Created By" of the time punch from the Time Card Details to see if it was created by another user, such as a supervisor, instead of the employee.
- Review the user logged in from Collection Details to see if it was made through another user.
Location Has Incorrect GeoFence
The GeoFence of the location is incorrect, making any employees clocking in/out on-site appear as if they are clocking in/out outside the GeoFence. Double-check that the GeoFence is correct and update as needed. After the GeoFence is updated, the red i icon for the time punch will automatically update to green if the updated GeoFence encompasses the time punch position.
Traveling to Location
Some organizations consider driving to a location as work time for the location. In these situations, the red i icon is expected to appear as they are tracking their travel time to drive to the location and the red i icon can be ignored.
