The Settings for "Alerts and Notifications" allows you to specify if your alerts and notifications will be sent via Push from ExakTime Mobile, SMS Text, and/or Email. Each delivery method offers varying usefulness
- Go to Tools and click Alerts and Notifications from the menu bar.
- Click Custom Alerts & Notifications under Settings.
Delivery Method & Character Limit
The settings menu lists the three delivery methods with checkboxes to enable or exclude as appropriate. By default, all three delivery methods are enabled with each method having a different character limit. When determining which delivery method is best for your organization, consider the following:
Delivery Method Priority
If all three or multiple methods are selected for Custom Alerts & Notifications, we will prioritize "Push from ExakTime Mobile", then "SMS Text", then "Email", depending on what is available from the employee profile. The employee will also only receive one notification if multiple methods are selected, regardless if multiple methods have been enabled.
For example, if "Push to ExakTime Mobile" and "SMS Text" are enabled, the system will check if the employee has ExakTime Mobile installed and allowed notifications. If the employee has met these conditions, he/she will receive a push notification and no SMS text message will be sent. If the employee has not met these conditions the system will try to send them an SMS text message with the mobile phone number on record in ExakTime.
Character Limits
If multiple delivery methods are selected, the lowest possible character limit of the selected options will be used. For example, if all three delivery methods are selected, the available character count will be 150.
The delivery methods have the following character limit(s):
- Push from ExakTime Mobile = 168 Character Limit
- SMS Text = 150 Character Limit
- Email = 5,000 Character Limit
Consider Employee Habits
When enabling the delivery methods for your custom alerts and notifications, keep in mind the requirements for employees to receive alerts/notifications and your employees' habits. It is important to speak with your employees beforehand so they are aware of what to expect when receiving an alert or notification.
For example, Push from ExakTime Mobile can be swiped away out of habit or overshadowed by other phone notifications and missed on accident as ExakTime Mobile does not offer a notification history. If this is a reoccurring issue with employees, SMS Texts may be a better alternative as an SMS Text can be referred to later.
