Setting Up Required/Recommended Courses for the LMS

From this page, required and recommended courses can be searched for, assigned by multiple variables in the system, and set up to automatically renew.

For an example of a required course, if all employees need to take "Understanding Sexual Harassment" annually, this is where you will set it up to automatically reassign annually with reminder notifications to go out to the employees.

Navigating to Required/Recommended Courses

From Learning Management, click LMS Admin, click Courses, then click Required/Recommended Courses.

Searching For Existing Required/Recommended Courses

  1. Select the primary method to search for existing required/recommended templates. Selecting the "Search By" method may show additional fields to further filter the searches.

  2. In the example below, we have used the "All Employees" option. You will see the course title if it's required/recommended, and who it is assigned to under the "Requirements" column.

Adding New Template

To create a new template/assignment:

  1. Select Add New Item.

  2. Select the desired course

  3. Select if the course is Required or Recommended.
    • Required requires additional information (see Step #4)
    • Recommended requires a selection of variables to assign by (see #5 below)
  4. If Required, decide which variable to assign by, then select the desired sub-items

    • Required For - Who the course should be required for. For all options except "Employee", the course will be assigned when they meet the criteria, such as when they are added to a department or job code.
      • Department
      • Location
      • Job Code
      • Group
      • Manager
        • Users with the Manager Role will be selected
        • Course will be assigned to the direct reports of the selected manager
      • Employee
        • Course will be assigned to selected employees
        • See note at the bottom of the page
      • All Managers
        • Course will be assigned to users with "Manager" role
      • All Employees
    • Recurrence - If the course should recur.
      • Annual - Course will be assigned to employees each year
      • Bi Annual - Course will be assigned to employees every other year.
    • Start Date - When the assignment is made. If entering a future date, the course assignment will be done on the specified date. 
    • Due Date - Date the course is to be completed.
    • Email Reminder
      • Once - Reminder will be sent based on designated "days before due date"
      • Daily
      • Every three days
      • Weekly
      • Bi-Weekly
      • Monthly
    • Start Sending - This option is dependent on having an email reminder. You will specify how many days before the due date the reminder should begin to be sent.
  5. If Recommended, specify who it will be recommended to.

    • Recommended For - Who the course should be recommended for. For all options except "Employee", the course will be recommended when they meet the criteria, such as when they are added to a department or job code.
      • Company Location
      • Department
      • Job Code
      • Group
      • Employee
        • The course will be assigned to selected employees
        • See note at the bottom of the page*
      • Manager
        • Users with the Manager Role will be selected
        • Course will be assigned to the direct reports of the selected manager
      • All Managers
        • Course will be assigned to users with "Manager" role
        • All Employees
  6. Click Save

Reminder notifications are based on Due Date and Days Before Due fields

* When Selecting Employees - Quickly identify one or more employees by using the type-ahead search or filtering by category. Categories available include: Manager, Location, Department, Job Code, Group, and Business Unit. Make selections, then click Save.
