Adding a New Hire to Onboarding

If a new hire must be added to Onboarding, but was not hired through the Applicant Tracking System, you can add the new hire manually in Onboarding. After the new hire is added, they will receive a verification email, create their password, and sign in to Onboarding to complete their paperwork. You can also enable an additional notification email to send to the new hire, welcoming them to your organization, next steps, what documents to prepare, and more. 

Adding a New Hire

Navigating to Incomplete New Hire
  • Click New Hire Dashboard from the top menu.

  • The Incomplete New Hires tab should be the initial tab shown. If not, click the tab.

  • You will see the Incomplete New Hires page like below. New hires who have not completed their paperwork will be listed.

  • Click Add New Hire

  • Fill in the available fields (* - Required Field)
    • First & Last Name*
    • Email Address* - The email address for the new hire to verify their account and create their password.
    • Username (User Login)* - The username will be used by the new hire to sign in to the Onboarding website and begin their paperwork.
      • It is typical that the email address and username match for ease of use.
    • Hiring Template - If a hiring template has been created, you can select it from this drop-down to fill in the appropriate fields. For more information about hiring templates, you can refer to our article here.
    • Business Unit* - If your organization has Business Units, you must specify the business unit the new hire belongs to.
    • Location* - The location that the new hire will be working.
    • Hiring Manager* - The manager who will be taking care of the new hire's paperwork.
    • Job Title* -  The job titles that populate the dropdown menu are entered from the "Job Titles" menu of Administration.  
    • Employment Type - Choose from Full Time, Part Time, or Seasonal.
    • Pay Rate - Choose from Hourly or Salary.
    • Amount
    • Training Pay Rate per Hour - If the new hire is to be paid an alternative rate while undergoing training. This is an alternative setting that can be enabled from the Administration page. 
    • Scheduled to complete onboarding on
  • Click Submit when finished.

What the New Hire Receives

  • The new hire will receive an email, like below, to verify their account and create their password. In the event that the new hire is unable to locate the email, the new hire should check their spam/clutter emails for emails sent by <donotreply@birddoghr.com> or <donotreply@arcoro.com>.

  • If you have also enabled the "New Hire Setup" notification, the new hire can receive an additional email like the example below. The content of the additional email is configurable by you and can be beneficial to inform the new hire of any necessary documents, contact information, expectations, and more.

  • After creating their password and signing in, the new hire will go through their new hire paperwork. If you would like an example of this, you can refer to the following article.
