Why Is My Report Missing Data in ExakTime?

Reports generated in ExakTime Connect will use the current data found in ExakTime. If a report is missing any data, such as missing time data or field note for an employee, there are a series of steps to determine where the issue is coming from.

Check Report Specific Options

Review the report specific options that may be removing the data you want from the report. For example, the Field Notes List Report has options to exclude specific types of field notes from the report.

Check Report Filters

Filters allow you to specify what entities (employees, locations, or cost codes) a report should include. While this can allow you to focus on specific employees or locations, it can also result in data being left out. The following settings for filters are easily overlooked:

  • Active/Inactive Status - Make sure the status is correct. If the status is set to "Active" or "Inactive", the report will only refer to active or inactive entities and may result in key data being missed because an employee, location, or cost code is inactive.

  • Incorrect Selections - Make sure that the appropriate category and/or entities are selected for your report. If a report should include all possible entities, set the filter to show all.

  • Clear All Filters - If you are unsure if your filters are affecting the report, click "Clear All Filters" to reset your filters. This can help ensure that all possible data is used for your report, confirm the data is there, and then start filtering to what you need.

Review Employee Viewsets

The employee viewset determines who an employee can see within the system. Administrators and Managers will typically have their viewsets set to "All Employees" or to large groups of employees. If an employee is not included in your viewset, they will not be able to see any data relating to the employee. If you have permission, you can adjust your employee viewsets yourself; otherwise, you must consult your ExakTime Administrator to update your employee viewset. 

Review Source of Reports

Time Reports

If you are generating reports based on an employee's time, you should review the employee's timecard/timesheet with the same date range as the report. If there is no time on the employees' timecards/timesheets, you will want to focus on why you have not received your employees' records, as it may be the root of the issue.

Field Note Reports

If you are generating reports based on field notes, make sure that your employees have created field notes and synced their copy of ExakTime Mobile. For more information about Field Notes, you can refer to the following article.

Expense Reports

If you are generating reports based on expenses, make sure that your employees have created expenses and have synced their copy of ExakTime Mobile. For more information about Expenses, you can refer to the following article.

Mobile Form Reports

If you are generating reports based on mobile form responses, double-check that your employees have completed the assigned forms and synced their copy of ExakTime Mobile. For more information about mobile form responses, refer to the following article.

Alternate Web Browser

Try to use an alternate web browser that you would normally not use. It can help narrow down issues such as cookies or cached data. If the issue persists with an alternate web browser, it may narrow down the issue as being related to the data or the web browser in use. If the issue does not persist on the alternate web browser, you will want to clear the cache/cookies of your primary web browser.
