How to Import Entities with SyncLinx

SyncLinx is our application that allows you to import entities from a supported payroll/accounting application to populate your ExakTime system to help ease data entry. Importing your entities is a quick and easy process where you select the entities you want to bring over, ignore the ones you don't, and begin the import process. 

While this resource focuses on the import process of SyncLinx, you can also use syncLinx to update some of an entity's information, deactivate entities that SyncLinx does not match, and more. Refer to the following article for more information about other aspects of using SyncLinx.

Select the Type of Entity to Import

The top-left of SyncLinx will have a number of buttons that allow you to pull a list of available entities from your payroll/accounting application to import into your ExakTime system. The buttons available may depend on your payroll/accounting application.

The most common buttons are:

  • Get Employees
  • Get Locations
  • Get Cost Codes

Click the "Get X" button for SyncLinx to request data about the entity from your payroll/accounting application.

Depending on other settings in SyncLinx, you may need to import the information in a specific order. For example, if you have Location/Cost Code Viewsets enabled, new cost codes must be imported first, so when the locations are imported, the cost codes will be viewsetted for the location. Importing locations before cost codes may not set up the location viewsets as desired.

Select the Entities to Import

  • At the top of the application will be entities that have not yet been imported or ignored. Towards the right of any entity will be two buttons, import and ignore. Click the option that you want to perform: Import or Ignore. If you do not want to do either, you can skip the entity and come back later.
    • Depending on the number of entities, it may be best to import or ignore what you need first, and then do the other function. It's much easier to import the locations you need first, then ignore the rest in a separate import or vice-versa.
    • An entity will be available for import if the name and ID combination do not exist in ExakTime Connect. If the ID and/or name are changed for an existing entity in ExakTime Connect that was previously imported via SyncLinx, SyncLinx will see the updated entity as being brand new. For example:
      1. Location "Jon's Deli" is imported.
      2. The location name in ExakTime Connect is changed to "John's Deli"
      3. If the name was not updated in the third-party application as well, SyncLinx will see it as a new entity to import.

  • Click Begin Import.
    • Any entity that was imported will appear in the window to the middle-left under "Already in TimeSummit/ExakTime."
    • Any entity that was ignored will appear in the window to the middle right under "Ignored in Import."
    • Any entity that was not imported or ignored will stay in the window to the top under "(Application Name) Employees/Locations/Cost Codes."

  • After the import has been completed, you can see the imported entity on the appropriate pages of ExakTime Connect.

Entities Missing

If any entities are missing, you can check any of the following:

  • The entity has not been set up appropriately (i.e. inactive status, not started, closed, etc.) for SyncLinx to list the entity.
  • SyncLinx importer settings may offer the option to import entities that fit specific criteria such as from specific company files, specific stasuses, etc.
