How to Use "My Time Card" on ExakTime Connect

"My Time Card" allows you to review your time card in ExakTime Connect, approve your time, email the time card to yourself, and more. Some icons and options for your time cards are depending on other features/options enabled by your ExakTIme Connect administrator.

"My Time Card" can be accessed by logging in to your company's ExakTime Connect account. If you are unsure of the URL for your company's account, reach out to your company's ExakTime administrator for the URL.

Employee Hours and Approval Summary

  • Hovering over the contactCardWhite.png contact card icon will show your phone number(s) and email. If any of the information is missing such as the email, reach out to your company's ExakTime administrator to enter the information.

  • Your hours will be presented at the top of your time card broken down by regular, OT1 (Overtime), OT2 (double time), and Unpaid time with a total of your worked hours.

  • If your company has time card approvals enabled, you can see if your time card has been approved and at what level (Employee, Supervisor, and/or Sign Off).

My Time Card Actions

The "My Time Card" actions available will depend on what permissions have been enabled by your ExakTime Administrator. The basic actions available are:

  • Print - Print a preformatted copy of your time card.
  • Email to Me - Email a preformatted copy of your time card

The following actions are dependent if your company has enabled time card approvals:

  • Approve/Unapprove Time - Approve your time card if your time card is accurate to your knowledge. Your time card should only be approved at the end of your company's pay period. It is recommended to consult your ExakTime administrator for your company's policies/expectations.
    • If your company has enabled time card approvals, but there is no "unapprove" button, then someone with elevated permissions, such as a supervisor or administrator, has approved your time card and locked in your approval. If the time does not appear correct, reach out to your ExakTime administrator or the approver for assistance.
  • Approval History - View who has approved your time card and when.

Pay Period/Date Range

  • Use the drop-down menu to quickly jump between pre-determined date ranges and pay periods.

  • Click the left and right arrow buttons to go to the previous/next pay period, pay week, or day. If you are viewing a custom date range, the left and right arrows will be grayed out and unresponsive.
  • Click the Calendar_-_01.png calendar icon to select a custom date range to view. The maximum date range allowed is 31 days.

Column Manager

The column manager allows you to add/remove columns to your time card. The available columns will depend on other permissions and options enabled by your ExakTime Administrator.

Time Card

Your time card will show your time records and columns for:

  • Location - Where you worked.
  • Cost Code - What you did at the location.
  • Start/Stop Time - The start/stop time of the time record. The stop time will be grayed out if it is using the start time of the time record that immediately follows.
  • REG/OT1/OT2 - If the time record hours are regular, overtime, or premium/doubletime.
  • Shift/Pay Code - Indicates what shift and/or pay code a time record would belong to. Dependent on Shifts being enabled for the ExakTime account.
  • Unpaid - Indicates how much time is spent for a manual meal break or for any approved unpaid time off requests. Dependent on Manual Meal Breaks and Time Off being enabled by your company. Will not show hours for auto lunch deductions or gaps of time between time records.
  • Hours - The overall hours for the time record.

Understanding Time Record Icons

  • Policies_Icon_-_00.png - This icon will appear for any record that was created by a policy, most commonly for an auto-lunch.
  • ETC_-_Time_Card_Details_-_Meal_Break_Icon_-_00.png - This icon indicates if a time record is for a meal break. Dependent on Manual Meal Breaks being enabled by your company.
  • ETC - This icon indicates if a time record is generated from an approved time off request. Depending on the 'Time Off' feature being enabled by your company.
  • Overview__Time_Card_Detail__115002665908__Exported.png- This icon appears for any record that has been exported via AccountLinx. Dependent on AccountLinx being utilized with ExakTime.
  • Overview__Time_Card_Detail__115002665908__Incomplete.png - This icon appears for any time record field that is missing data. This will be common for time records where you forgot to clock in/out. As incomplete time records can affect your total hours, you should speak with your ExakTime Administrator to have the time record corrected/updated.
  • Start/Stop Time - The start and stop time that you worked for a given location/cost code of the time record.
    • The "Stop Time" will be grayed out if it is using the start time of the immediately following time record.
    • Clock_Out_Icon_-_00.png - This "Clock Out" icon will be displayed towards the left of a "Stop Time" if it is a clock out.
    • Next to each start/stop time will be a small i icon. The color of the icon will indicate the relation of the GPS provided to the selected location.
      • Overview__Time_Card_Detail__June_Update___360003910674__No-GPS.png - A blue icon indicates that there is no GPS associated with the time punch. This can be due to:
        • Lack of location services at the time of creating the punch on ExakTime Mobile.
        • If the time punch was created manually with ExakTime Connect.
        • if the time record was created automatically by the system such as a midnight split.
      • Overview__Time_Card_Detail__June_Update___360003910674__Location-No-GPS.png - A grey icon indicates that there is GPS associated with the time punch, but the location for the time punch does not yet have a GeoFence.
      • Overview__Time_Card_Detail__June_Update___360003910674__Outside-GeoFence.png - A red icon indicates that the GPS for the time punch is outside the GeoFence of the location for the time record.
      • Overview__Time_Card_Detail__June_Update___360003910674__Inside-GeoFence.png - A green icon indicates that the GPS for the time record is within the GeoFence of the location of the time record.
      • ETC_-_Time_Card_Details_-_i_icon_-_Meal_Break_-_01.png - A yellow icon indicates you clocked in early from a manual meal break. Dependent on Manual Meal Breaks being enabled for the ExakTime account.
    • Hovering over this icon can also information such as GPS proximity, FaceFront photo, and more:
      • Source - Where the time record came from.
      • Created by - Who created the time punch.
      • Punch Time - The original punch time.
      • Additional Information
        • GPS of Time Punch in relation to the selected location.

  • Comments - Comments can appear with a time record if they were added when clocking in/out on ExakTime Mobile/Connect, by a time editor on ExakTime Connect, or by an automated system in ExakTime Connect.
