Differences between Training Items & Certifications of Core HR and LMS

Both Core HR and the Learning Management System offer ways to track training, licenses, certifications, and/or compliance your employees have completed and received. They are known as Training Items in Core HR and Certifications in the LMS. 

While they are both used for similar purposes, the differences in how they function between the respective modules determine which would be best for your organization, as they are not currently interchangeable. LMS provides a simpler interface to track employee certifications, while Core HR provides a robust and formal method to track employee training items.

Similarities

  • Assigning Certifications/Training Items - Manually assign items to individuals or in bulk for employees who attended the same training.
  • Start & End/Expiration Dates - Both modules allow you to specify the start and end dates for a certification/training item before it expires or should be renewed.
  • Document Uploads - Documents can be uploaded to prove the completion of a certification/training item.
  • Review Certifications/Training Items - Certifications/training items for multiple employees to identify who has current and expired items.

Differences

  • Reminders
    • LMS - Reminder emails can be sent to employees with the certification (and any relevant parties) when the certification will expire to renew the certification. 
    • Core HR - A workflow can automatically trigger before the expiration of a training item if the employee must renew the training item, allowing appropriate parties to be informed and complete the renewal workflow. Workflows can include reminder emails, document uploads, approvals, etc.
  • Employee Involvement
    • LMS - Employees can add certifications on their own with manager approval. The performance manager of the employee receives the notification when the employee uploads the certification, but admins or the manager's manager can also approve it. 
    • Core HR - Employees can start a workflow from the employee homepage to provide relevant documents and electronic signatures to the relevant parties.
  • Dedicated Fields - Core HR offers dedicated fields for tracking the state, license #'s, and other data unique to the training item, such as license #'s.
