Resolving Duplicate PINs for ExakTime

When setting up your employees for ExakTime Mobile, you may encounter a situation where the PIN is already in use. This is typically because the PIN you are trying to assign to the employee is already assigned to another employee. Because the PIN must be unique amongst employees at your company, here are a couple of ways to resolve it.

Check if PIN Is in Use

You can enter the PIN that is in use on any copy of ExakTime Mobile at your company. If the employee with the PIN is active and has an ExakTime Mobile security role, you will be able to sign in with the PIN and see who it is assigned to. If the employee is active and should be tracking their time, you will want to assign an alternative PIN to the new employee.

Enter an Alternative PIN

The simplest method is to enter an alternative PIN for the new employee. While it is common for a simple 4-digit PIN to be set up, you can set up a PIN with 4-10 digits. For example, if PIN "1234" already exists, then enter "12345" instead. It may be best to set up a new PIN instead of reusing an existing PIN.

Remove the Existing PIN

As we do not currently offer a method to see all your employees' PINs at once, you will need to look through your existing employees' details to find the employee who is currently using the PIN. If your company uses a pattern for setting up employee PINs, such as using the employee ID or the last four digits of the employee's social, then it can be easy to find the employee with the existing PIN to remove.

  1. Go to Manage and click Employees

  2. Make sure that you are viewing both "All" employees (Active and Inactive).

  3. Click the edit icon How_Do_I_Setup__Reset_or_Look_up_Someone_s_Pin_Code___211829958__Edit_Icon_2.png next to the employee to view their employee details.

  4. Scroll down toward the 'ExakTime Mobile and Connect Access' section. Remove the PIN first, then change the 'ExakTime Mobile Security Role' to "No Access".

  5. Save any changes made.
  6. Go to the employee details that should receive the PIN to update their ExakTime Mobile Security Role and PIN.
  7. There will be a short delay after setting up the PIN for the new employee before it is recognized by ExakTime Mobile.
