ExakTime Rate Code Policies Overview for Arcoro Payroll

Rate Code Policies are only available to Arcoro Payroll users. Consult your account manager for more information about Arcoro Payroll if interested.

Rate Code Groups in ExakTime let you map hours to specific rate codes to be paid in Arcoro Payroll. You can also map individual locations or cost codes to specific rate codes.

Example: You can complete a mapping here so that hours worked under the Travel Cost Code can always be paid using an employee’s Travel Rate Code in Payroll. This ensures payroll accuracy by automatically applying the correct rates based on the type or location of work.

Prior to completing your configuration, ensure that all of your Rate Codes have been entered into Payroll. You can learn more about setting up rate codes in payroll here

Navigating to Rate Codes Policies

Go to Manage and click Rate Code Policies from the menu.

Configuring Rate Code Groups

Default Rate Code Group

  • A Default Rate Code Group is automatically created in the system, and all employees are initially assigned to it. The default rate code group can be found within the "Rate Code Groups" section.
    • Any new hires added to the system are automatically assigned to the "Default" rate code group
  • If you need different mappings for certain employees, you can create a New Rate Code Group and assign those employees to it.
    • Each employee can belong to only one rate code group at a time.

Creating a New Rate Code Group

  1. Click Add Rate Code Group.

  2. Set up the rate code group:

    • Enter a Rate Code Group Name.
    • Set your default rates (Regular, Overtime, Doubletime).
      • Defaults apply if no other mapping is satisfied.
    • To add additional mappings for specific locations or cost codes:
      • Click Add Rate Code Rule, select the rate code, choose the rule type, and click Save.
  3. Once all rules are built, click Save at the bottom right.

Assigning Employees to a Rate Code Group

  1. Click the Rate Code Group Name.

  2. Click the Employee Members tab.

  3. Select the employees to assign to this group.

    • This will remove them from any previously assigned rate code group.

Helpful Tip! If you are editing your Rate Code Groups as part of your payroll processing, be sure to recalculate your time cards to apply the changes prior to syncing hours into Payroll. Learn more about recalculating a time card here.
