Using Emergency Contacts for Legal Events and Legal Hold for Documents

Core HR offers a set of features to help you and your employees when navigating legal matters, such as:

  • Employees can designate an emergency contact in case of legal events.
  • Administrators can place a legal hold on documents to prevent modifications/deletions.

Emergency Contact for Legal Events

Enabling Emergency Contact for Legal Events allows an emergency contact to be designated as the primary contact in the event that an employee has been arrested. 

Enabling Emergency Contact Designation

  1. Expand 'Setup' and click Setup Properties from the menu.

  2. Enable the option to "Manage Emergency Contact for Legal Events".

  3. Save your changes. Users may need to log out and back in to see the new menu options.

Designating Emergency Contact

Only one emergency contact can be designated as the primary. An emergency contact that has been designated as the contact for legal events cannot be deleted, and the designation must be removed before deletion. 

  1. Search for the employee that you want to manage.

  2. Hover over "Employee" to show the available pages. Click Emergency Contacts

  3. Use the Actions drop-down menu and click Create Emergency Contact

  4. Enter the name and phone number(s) of the emergency contact.

  5. Click Add Contact when finished.

Legal Holds on Documents

Placing a legal hold on a document prevents it from being modified or deleted to help ensure compliance with legal or regulatory requirements in your region. 

Enabling Legal Hold for an Administrator

  1. Expand 'Setup' and click Administrators from the menu.

  2. Click the name of an administrator.

  3. Enable the permissions for placing and/or removing a legal hold for documents.

  4. Save your changes. The user receiving these permissions may need to log out and back in to see the new options.

Placing/Removing Legal Hold

Documents that have been placed on a legal hold cannot be deleted and the legal hold must be removed before the document can be deleted. 

  1. Search for the employee that you want to manage.

  2. Hover over "Employee" and click Documents

  3. Check the box to the far right of the document(s).

  4. From the Actions drop-down menu, click Place Legal Hold or Remove Legal Hold, as appropriate.
