Using the AI Assistant on the Arcoro Landing Page

The Arcoro Landing Page is available to organizations that are using multiple Arcoro modules to help them navigate to the modules they want. Part of the Arcoro Landing Page is the AI Assistant, an interactive tool to help answer questions about the read-only data of your Arcoro modules. 

The AI Assistant does not currently change your data in any way, and it does not provide step-by-step instructions on how to complete certain actions in the system.

Using the AI Assistant

The AI Assistant will provide some instructional text and some suggested questions for the assistant. The AI Assistant currently provides answers based on read-only access to the user’s company data. Simply ask the AI Assistant a question or use the suggested questions to receive responses.

You can ask a stream of questions, and the AI Assistant will continue to show the history of the chat. 

If you refresh or close the window, the history of the AI Assistant will not be saved. If there is anything important you want to note or keep, you must copy and paste it elsewhere, such as Notepad.

AI Assistant Data Sources

The AI Assistant will refer to the following data sources:

  • Historical Data Only - The assistant queries the Arcoro Data Warehouse via the OData framework, providing access to a broad range of HR, time, talent, and cross-product data entities based on the admin’s module access. The data in the Arcoro Data Warehouse is refreshed nightly. Any data generated after the nightly refresh time will not be available until the following nightly refresh.
  • Employee Timecard Data — ExakTime admins can ask questions about employee time records, shifts, punches, approvals, time off, and expense data. Results are automatically scoped to the employees within the admin’s ExakTime viewset.

AI Assistant Limitations

  • The AI Assistant follows specific guidelines in generating responses:
  • The assistant cannot act on your data.  This means that if a user asks it to add a new location, it will decline the request.
  • The assistant only surfaces data from modules the logged-in admin is authorized to administer. Admins cannot query data from modules they do not have admin access to.
  • The assistant cannot link to areas within Arcoro.  For example, if you ask the assistant to point to the place where they can update an employee's PIN, they will not give you a link.
  • All data returned by the assistant is scoped to the admin’s own company. Cross-company data access is not possible.
  • The assistant can display data in tables, but cannot export it. 
  • Conversation feedback can only be submitted by the admin who owns the conversation. Admins cannot rate or view another admin’s conversations.

AI Assistant Availability

The AI assistant will only be shown to users who are in one of the following roles for organizations with multiple Arcoro modules. The AI Assistant will be available to organizations with only one Arcoro module at a later date.

  • Core HR admins — access to Core HR data, full user data (including sensitive fields), and shared cross-product data (locations, company data, time off)
  • ExakTime admins — access to ExakTime time data and a limited subset of user data (no sensitive fields), filtered by their ExakTime viewset
  • LMS admins — access to talent data and a limited subset of user data
  • Performance admins — access to talent data and a limited subset of user data
  • ATS admins — access to ATS data and a limited subset of user data

If a user is an Onboarding-only admin or non-admin user, they will not see the AI Assistant. Organizations with only one Arcoro module are not currently eligible.
