Arcoro Projects - Portal User Guide

This guide walks you through Arcoro Projects — the platform Arcoro uses to manage your implementation project. It’s designed to help you get oriented quickly so you can track progress, complete tasks, and stay connected with your team from day one.

About Your Portal: When Arcoro kicks off your implementation project, you’ll receive a login to your Arcoro Projects customer portal. This is your central hub for tracking progress, completing assigned tasks, and communicating with your implementation team.

The portal is specific to your project. The data shown in the screenshots throughout this guide is example data — your portal will reflect your actual project details.

Home Screen

When you log in, you’ll land on the Home screen. This is your starting point for everything happening on your project. 

Welcome Message & Navigation

  • A welcome message greets you at the top of the screen.
  • Tabs run along the top for navigation between sections.
  • A notifications area is accessible via icons in the top right corner.

Project Overview

Scroll down the Home screen to see a high-level summary of your implementation at a glance:

  • Total % complete across the full project
  • Project start and end dates (updated as the project progresses)
  • Current phase and progress bar (e.g., Phase 1 – Data Collection)
  • Upcoming phases with expected date ranges
  • Completed phases listed at the bottom

The project overview updates in real time as tasks are completed. Check back regularly to see how things are progressing.

Spotlight Section

Your Arcoro implementation team uses the Spotlight section to call out the specific tasks, attachments, or conversations that need your attention right now.

  • Spotlighted items will change throughout the project as priorities shift.
  • Click any spotlight item to go directly to that task or form.
  • Forms can be completed and submitted directly from this view.
  • You can message your implementation team from within any spotlighted task.

Keep an eye on Spotlight — it’s your team’s way of flagging what to focus on next.

Your Tasks

Below the Spotlight section, you’ll find a filtered task list showing everything assigned to you. You can view:

  • All tasks assigned to you
  • Tasks that are overdue, due this week, or due next week
  • Task owner (Arcoro team vs. your team)
  • In Progress and Upcoming tasks

Click into any task to see full details, update its status, add attachments, or send a message to your Arcoro team.

Updating a Task

To work on a task:

  • Open the task: Click the task to open it and review any directions or subtasks.
  • Complete subtasks: Click into individual subtasks for details. Use the breadcrumb link in the top left to navigate back to the parent task.
  • Fill out forms: Forms can be completed and submitted directly from the task view.
  • Update the status: Move the task through To Do → In Progress → Complete as you work.
  • Add an attachment: Upload any relevant files directly to the task.
  • Send a message: Communicate with your Arcoro implementation team directly within the task — no separate email needed.

Keeping task statuses up to date helps your Arcoro team know where things stand in real time.

Project Plan Tab

The Project Plan tab shows the full timeline of your implementation. Use it to get a complete picture of what’s been done, what’s in progress, and what’s coming next.

  • Expand or collapse task groups to focus on what you need.
  • Zoom in/out and scroll through different time periods.
  • Switch between week, month, and quarter views.
  • Customize which columns are visible (e.g., start date, task #, owner).
  • Use the full-screen button for a better view of large project plans.
  • Click into tasks and subtasks directly from this view.

Project Updates Tab

Your Arcoro team uses this tab to share progress updates and meeting recaps throughout the project. It’s the best place to stay informed on overall project status.

  • Click any update to read the full message, including who it was sent to and when.
  • Add a comment or reply to an update directly in this tab.

Resources Tab

The Resources tab is your project’s document library. It fills in as your project moves forward.

  • Access documents and links relevant to your project.
  • Spotlighted documents are surfaced at the top for easy access.
  • Recently added documents appear for quick reference.

This tab may appear empty early in the project — that’s completely normal. Your Arcoro team will add resources as they become relevant.

Account Overview

If you have multiple projects in implementation, or have worked with Arcoro on past implementation or professional services projects, they’ll all appear here. Account-level documents not tied to a specific project are also stored in this section.

Chat

The Chat icon (speech bubble) in the left navigation gives you access to all project conversations.

  • General Chat: A team-wide conversation thread for the full project team.
  • Task-specific chats: Each task can have its own conversation thread for focused discussion.
  • A number badge on the icon means there are unread messages.

Notifications & Actions

  • Notifications: View items you’ve been assigned to or where you’ve been @mentioned.
  • Actions: Any approval requests that need your response will appear here.
  • Ratings: If enabled, you may be asked to provide feedback here.

Sharing the Portal

If your access allows, you can invite colleagues or share project information using the Share option in the top navigation. This is useful for adding team members who weren’t part of the initial setup or for sharing updates with outside stakeholders.

What is Arcoro Projects?

When will I get access to my portal?

You’ll receive a login invitation when Arcoro kicks off your implementation project. Check your inbox for an email with access instructions. Reach out to your Project Manager if you don’t receive it.

What does the example data in the screenshots mean?

The portal screenshots in this guide use sample data for illustration. Your portal will reflect your actual project details, tasks, and timelines.

How do I know what to work on first?

Check the Spotlight section on your Home screen. Your Arcoro team uses this to flag the tasks, forms, or items that need your attention right now. It updates throughout the project as priorities shift.

How do I update a task status?

Click into any task to open the detail panel. From there, you can change the status (To Do → In Progress → Complete), add attachments, fill out forms, and message your Arcoro team directly within the task.

Can I share the portal with a colleague

Yes, if your access allows it. Use the Share option in the top navigation to invite colleagues who aren’t yet part of the project, or to email project information to an outside stakeholder.

Who do I contact with questions about my project?

Reach out to your assigned Arcoro Project Manager directly. You can also message the team from within any task or via the Chat tab in your portal.
