Using Bulk Document Download for Core HR

The Bulk Document Downloader allows admins to download multiple documents quickly for audits, compliance checks, and legal requests. This feature is currently available to organizations with Core HR and are on Arcoro Hub. 

Bulk document downloads are currently subject to a maximum limit of 5,000 documents per download request. If your current selection exceeds this threshold, the system will prevent the download from proceeding and display an error notification prompting you to adjust your criteria.

Navigating to Bulk Document Download

Expand Settings and click Documents from the menu. If your organization is not currently on Arcoro Hub, the "Documents" option will not be listed.

Required Permissions

A user must have permission to the "Document" option to access the "Bulk Document Download" page.

  1. Expand Setup and click Administrators from the menu.

  2. Be sure your Admin Status filter is set to "All" so you can see both active and inactive Administrators.  When "Set Employee as Administrator" is initially clicked for an employee, they will be an Inactive admin by default.

  3. Click the Administrator’s name that needs to be configured.

  4. Click the Page Settings tab.

  5. Enable "Documents" under the "Settings" list.

  6. Save your changes.

Bulk Document Download Menu

The "Bulk Document Download" menu will offer two tabs:

  • Select Documents - Filtering and submitting download jobs
  • Available Downloads - Tracking in-progress and completed exports.

The "Select Documents" tab allows you to filter and queue your downloads.

The top of the "Selection Documents" tab allows you to filter your available downloads by:

  • Department
  • Location
  • Job Code
  • Employee Status
  • Document Category
  • Tags
  • File Name Contains
  • Start & End Date

Document List

The document list shows documents grouped by employee. Each employee appears as a group header with their documents listed beneath; employee groupings stay together regardless of how columns are sorted. 

The document grid includes the following columns:

  • Document
  • Date Added
  • Category
  • Tags
  • Note 

Available Downloads Tab

The "Available Downloads" tab will list active downloads. Download links are active for 7 days from the time the export completes. After 7 days, the link expires and will no longer appear in the Available Downloads tab. Expired packages cannot be retrieved — you would need to submit a new download request.

The "Available Downloads" menu will provide the following columns:

  • Actions
  • File - Name of the file.
  • Status - A .zip file can have any of the following statuses:
    • Processing (0–99%) - ZIP file is being generated. Wait for completion.
    • Complete - Download link is available. 
    • Failed - Job encountered an error. Review error message and resubmit if needed.
    • Expired - 7 days have passed. Resubmit your bulk download.
  • Expires - When the file expires.

Downloading Documents

  1. Set up your filter so only the desired documents are showing. Submitting the job initiates the background export for all documents matching the current filter.

  2. Enter a name for the ZIP file to be created. If the .zip extension is omitted, it is appended automatically. Click Create Download.

  3. The downloads will be processed into a .zip file in the background. You will be taken to the "Available Downloads" tab. Click Download for the file when it is ready.
    • As downloads are processed in the background, you do not need to wait on the page; you can navigate away and return to the "Available Downloads" tab to check progress at any time.

  4. Files within a zip file are organized by employee and then by document category within each employee's folder. Documents that have not been assigned to a category will appear in a "No Category" subfolder within the employee's folder.
