Spectrum Troubleshooting: Tax Setup (Federal, State, Local)

Before Arcoro writes an employee out to Viewpoint Spectrum, it checks the employee's federal and state tax records against the rules Spectrum enforces, things like valid ranges for override amounts and allowances, a supported filing status, and no future-dated records. If a federal tax record fails a check, Spectrum requires every employee to have a valid federal tax record, so the entire employee is held back from that sync run. If a state tax record fails a check, only that state tax record is left out. The employee, and everything else about the employee, still syncs normally. Spectrum can also only accept one state tax record per employee, so even a passing record can be silently dropped in favor of a more recent one.

Error Messages

Federal Tax Messages

All federal tax checks run for every employee, whether or not the Federal Taxes scope is selected for the sync step. Unless noted, a check below only runs when the federal tax record is not marked Exempt; an Exempt record skips straight past these checks.

State Tax Messages

Spectrum only accepts one state tax record per employee. Arcoro selects a single candidate, the record with the latest end date, then latest start date, then latest modified date, and only that one record is checked and written. Every other state tax record the employee has is dropped silently, with no message. If the selected record fails any check below, no state tax record at all is written for the employee; the employee itself still syncs. These checks only run when the State Taxes scope is enabled for the sync step. Unless noted, a check only applies when the record is not marked Exempt.

Confirming the Error

  1. Open the sync execution for the run reported from Sync History.
  2. Find the step for the Viewpoint Spectrum connector within that execution.
  3. Open the Employees entity row for that step.
  4. Check the Errors column for that row. A non-zero count means at least one employee hit a validation problem; open the errors list for the entity to see the individual messages.
  5. Match the reported problem against the fixed part of the sentence in the tables above, ignoring the bracketed values (state codes, filing statuses, amounts) that vary per employee.
  6. Check the Added, Updated, and Unchanged columns alongside Errors. A federal tax error means that employee is missing from all three for this run, the whole record was held back. A state tax error can appear on an employee who still shows up in Added or Updated, because only the state tax record was left out, not the employee.
  7. Check the Failures column. None of the messages in this article route through a Failures outcome; they are all Errors. If Failures is non-zero on this entity, that is a different, more serious problem and does not belong to this article.

Resolving the Error

Federal Tax Messages

  1. Open the employee's Federal Tax record in Core HR.
  2. Find the specific field named in the Fix column of the federal tax table above (Filing Status, Allowances, Override Amount, Override Percent, Additional Withholding, Dependents, Deductions, Other Income, Exempt, or the record's start date).
  3. Correct the value so it falls inside the range Spectrum supports, or mark the record Exempt if that is accurate for the employee.
  4. Save the change in Core HR.
  5. Re-run the sync for that employee (or the full sync step) and confirm the employee now appears in Added or Updated with no federal tax error in the errors list.

State Tax Messages

  1. Confirm the State Taxes scope is enabled for the sync step. If it is not, none of these state tax checks run at all, and your real issue is that state taxes are not being synced by design.
  2. Identify which state tax record Spectrum will actually evaluate: the one with the latest end date, then latest start date, then latest modified date. If you expect a different state to sync, this selection, not a data error, is the reason another state's record is missing.
  3. Open that state tax record in Core HR.
  4. Find the specific field named in the Fix column of the state tax table above (State, Filing Status, Override Amount, Override Percent, Additional Withholding, Percent Withholding, Allowances, Exempt, or County for Maryland records).
  5. Correct the value so it falls inside the range Spectrum supports, or mark the record Exempt if that is accurate for the employee.
  6. Save the change in Core HR.
  7. Re-run the sync and confirm the employee's state tax record now appears in Spectrum and no longer shows a state tax error in the errors list.

When to Escalate

If any of the following occur, you may need to reach out to Arcoro support for additional assistance.

  • The error persists after the data has been corrected in Core HR and the sync has been re-run.
  • The message text in the log does not match anything in the tables above.
  • The Failures column for the Employees entity is non-zero. That is a different failure mode than the Errors covered in this article.
  • You have has multiple state tax records and expects more than one to sync to Spectrum. Spectrum only supports one state tax record per employee; this is a platform limit, not a data error, and needs a product conversation rather than a data fix.
