Sage Intacct with Arcoro Time Troubleshooting: Employee Identity and Demographics

Arcoro Time is the source system for these records. Before an employee, time card, expense, or time off balance tied to an employee can be sent into Arcoro, the sync engine checks the record for a set of required fields. If a required field is missing or invalid in Arcoro Time, that one record is set aside for this run and nothing is written for it. Some of these checks apply to every connector. Others only apply when the connector's product configuration is Time for Payroll Configuration, because only a payroll destination needs the extra demographic fields such as address and date of birth. Fixing any of these messages always means correcting data in Arcoro Time, then running the sync again.

Confirming the Error

  1. Open the Sync History screen for the connector run named in the ticket.
  2. Before evaluating any of the nine fields gated behind the Payroll rule set, confirm the connector's product configuration is Time for Payroll Configuration. If it is not, none of those nine can be the cause and you should look elsewhere in the log.
  3. Find the row for the affected entity. For most of these messages that is Employees. For the Employee ID message specifically, check Employees, Expenses, and Time Off Balances under any configuration, and also check Time Cards when the configuration is Time for Payroll Configuration.
  4. A non-zero count in that entity's Errors column confirms at least one row of that type was rejected during this run.
  5. Open the entity's detail log and match on the fixed part of the sentence, for example "is missing but required by the Arcoro Time provider", rather than on the employee ID or name shown in quotes, since those values change per employee.
  6. Check whether more than one message is logged against the same employee. The nine Payroll-only field checks all run against the same employee before a single skip, so it is normal to see several of them together in one log entry. The Employee ID, Arcoro Person ID, and Duplicate Employee ID checks never appear together with each other or with the nine, because each of those three stops the record immediately.
  7. Note the Added, Updated, and Unchanged counts for the entity so you can confirm a drop in Errors after the fix corresponds to a rise in one of those columns rather than the row disappearing for an unrelated reason.

Resolving the Error

Employee ID Missing

  1. In Arcoro Time, open the employee or contractor record named in the log entry.
  2. Add a valid Employee ID to the record. If the message was logged against an Expense, Time Off Balance, or Time Card row, the fix is on the employee or contractor tied to that record, not on the record itself.
  3. Run the sync again and confirm the Errors count for the affected entity has dropped and the employee now appears under Added or Updated.

Duplicate Employee ID

  1. In Arcoro Time, find every employee sharing the Employee ID named in the message.
  2. Correct all but one of them so the Employee ID is unique across employees.
  3. Run the sync again and confirm only one employee is now processed for that Employee ID.

Arcoro Person ID Missing (Time for Payroll Configuration only)

  1. In Arcoro Time, confirm the employee is linked to an Arcoro person record.
  2. If no link exists, escalate rather than attempting to create the link yourself; the exact linking process is not something this article can walk you through.
  3. Once linked, run the sync again and confirm the employee now appears under Added or Updated.

Email, Home Address, and Date of Birth (Time for Payroll Configuration Only)

  1. In Arcoro Time, open the employee record named in the log.
  2. Add the missing value: email address, address line 1, city, state, zip code, or date of birth, matching the field named in the message. For an invalid state message, correct the state to a valid 2 character state or province code rather than adding a new value.
  3. Run the sync again. If the employee still fails, re-check the log for any other Payroll field messages logged against the same employee, since these checks accumulate and any remaining one will still block the record.

Employee Type and Primary Work Location (Time for Payroll Configuration Only)

  1. In Arcoro Time, open the employee record named in the log.
  2. Set a value for the 'Employee Type' custom property, or assign a primary work location, matching the field named in the message.
  3. Run the sync again and confirm the employee now appears under Added or Updated with no Errors logged against it.

When to Escalate

If any of the following occur, you may need to reach out to Arcoro support for additional assistance.

  • You confirm the named field is populated in Arcoro Time, but the same message repeats after a rerun.
  • The Arcoro Person ID message appears and cannot link the employee to an Arcoro person record.
  • The Duplicate Employee ID message appears across many employees in the same run, which points to a broader data problem in Arcoro Time rather than one employee typo.
  • A Payroll-gated message appears on a connector you have confirmed is not configured as Time for Payroll Configuration, since that should not be possible and points to a defect rather than a data issue.
  • The message text in the log does not match any row in this article's table.
