Sage Intacct with Arcoro Time Troubleshooting: Org Structure (Department, Location, Cost Code, Cost Type, Equipment)

This article covers the "org structure" building blocks that other Arcoro Time records depend on: Departments, Locations, Cost Codes, Cost Types, Equipment Types, and Equipment. Some of these flow out of Arcoro Time into Arcoro (Locations, Cost Codes), and some flow the other direction, from the source system into Arcoro Time (Departments, Cost Types, Equipment Types, Equipment).

Every message below causes only the one flagged record to be skipped. The record is not partially written and not retried automatically. Once the underlying data is corrected, the very next sync picks the record back up and processes it normally, there is no need to do anything beyond running the sync again.

This record will not be processed so that it is not assigned to the wrong Equipment Type. Sync Equipment Types first, or activate the Equipment Type in Arcoro Time, and execute the Sync again.Write (to Arcoro Time)On every sync, both creates and updates, only when the source supplied an Equipment Type for this Equipment. The combined "code - description" value for that Equipment Type must match an active Equipment Type already in Arcoro Time at the moment this sync's Equipment step runs. Confirming the Error

  1. Open the Sync History screen for the run in question.
  2. For a Location address or duplicate-name message, open the Locations entity row and check its Errors column.
  3. For an Equipment duplicate-name, required-field, length, or Equipment Type message, open the Equipment entity row.
  4. For a Cost Code required-Name message, open the Cost Codes entity row.
  5. For a Department required-field or length message, open the Departments entity row.
  6. For a Cost Type required-field or length message, open the Cost Types entity row.
  7. For an Equipment Type required-field or length message, open the Equipment Types entity row.
  8. Match the message in the log against the fixed part of the sentence in this article, ignoring the quoted values in single quotes, since those hold your own data.
  9. Confirm the affected record shows under that entity's Errors count, and that Added, Updated, and Unchanged do not include it, since a record that fails one of these checks is never added, updated, or left unchanged; it is skipped outright.

Resolving the Error

Locations

  1. These five address messages only appear on a connector using the "Time for Payroll Configuration" configuration. If your connector uses a different configuration, these messages cannot occur, look elsewhere for the reported issue.
  2. In Arcoro Time, open the flagged Location and check its Address fields: Address Line 1, City, State, and Zip.
  3. Fill in any blank address field the message calls out.
  4. If the message names the State field as invalid rather than missing, enter a valid 2 character state or province code, for example CA or ON.
  5. A single Location can show more than one of these five messages at once if it is missing more than one address field, that is expected and each one should be corrected.
  6. For the duplicate-name message, open Arcoro Time and rename one of the Locations sharing that Name so the Name is unique across all Locations.
  7. Run the sync again and confirm the Location no longer appears under the Locations entity's Errors count.

Cost Codes

  1. In Arcoro Time, open the Cost Code identified by its ID in the message and enter a Name.
  2. A Cost Code of the punch-clock "Time Stamp" type is never read at all and cannot produce this message; it is excluded by design rather than in error.
  3. Run the sync again and confirm the Cost Code no longer appears under the Cost Codes entity's Errors count.

Departments

  1. In the source system, open the flagged Department and enter or shorten its Code as the message directs. The Code cannot exceed 50 characters.
  2. Enter or shorten the Department's Description as the message directs. The Description cannot exceed 50 characters either.
  3. Run the sync again and confirm the Department no longer appears under the Departments entity's Errors count.

Cost Types

  1. Arcoro Time stores a Cost Type as a single field that combines the source's code and description, joined as "code - description". Whichever part the source is missing should be added; at least one of the two must be present.
  2. If the length message appears, shorten the code, the description, or both in the source system. It is the combined "code - description" value that must fit in 100 characters, not each part on its own.
  3. Run the sync again and confirm the Cost Type no longer appears under the Cost Types entity's Errors count.

Equipment and Equipment Types

  1. In the source system, open the flagged Equipment and enter or shorten its Code (limit 50 characters).
  2. Enter or shorten the Equipment's Name (limit 100 characters).
  3. For an Equipment Type required-field or length message, the same "code - description" combined value applies as with Cost Types, but the limit for Equipment Type is 200 characters, not 100.
  4. For the "not found as an active Equipment Type" message, first confirm the Equipment Type has synced to Arcoro Time in this run or an earlier one, Equipment Types must sync before Equipment in the same run. If it has not, run the sync again after Equipment Types complete, or run Equipment Types on its own first.
  5. If the Equipment Type exists in Arcoro Time but is Inactive, activate it, an inactive Equipment Type cannot be assigned to Equipment.
  6. If you renamed an Equipment Type or a Cost Type at the source, be aware that Arcoro Time will create a brand new Cost Type or Equipment Type record for the new name rather than renaming the existing one, the old record is left behind, still Active, under its old name. This is expected behavior and if you want the old record cleaned up, that has to be done manually in Arcoro Time.
  7. Run the sync again and confirm the Equipment and Equipment Type no longer appear under their entities' Errors counts.

When to Escalate

If any of the following occur, you may need to reach out to Arcoro support for additional assistance.

  • The message text in the sync log does not match any row in this article's table.
  • You have corrected the data as directed, run the sync again, and the same message still appears for the same record.
  • A record shows as Added or Updated in the sync log, but the value never appeared in Arcoro Time.
  • The Equipment Type or Cost Type appears duplicated for reasons other than a rename at the source, or you need the orphaned old record removed from Arcoro Time.
  • More than a handful of records across multiple entities are failing at once, which can point to a source system data problem broader than this article covers.
