These messages come from the Federal Taxes and State Taxes scopes of the Payroll employee sync. Each one fires when a single tax record, either the employee's Federal W-4 or one state's tax form, cannot be read or written because of a year, a filing status, or a missing form on the payroll system's side.
None of these six messages stop the sync or skip the employee. The employee record itself, and every other scope such as compensation, direct deposit, and benefits, still syncs. Only the tax record involved is left out for that run.
Tax setup only supports the modern Form W-4 (2020 or later). It also only supports state tax processing for two states today: Alabama and Colorado. Any other state on an employee's record is not evaluated against these checks at all.
Error Messages
| Message text | Direction | Occurs when | Outcome | Fix |
|---|---|---|---|---|
| The employee's Federal W-4 form is for a tax year prior to 2020. Only the 2020+ format is supported. Federal tax data will not be read. | Read (Payroll system to Arcoro) | Federal Taxes scope. The employee's current Federal W-4 form was found and its tax settings were retrieved, and the payroll system's own setting on that form indicates it is not a 2020 or later revision. This is a flag the payroll system reports, not a literal year comparison against a field. | Field skipped. Only the Federal Tax record for that employee is left out of the read; every other part of the employee still reads normally. | In the payroll system, have the employee complete and submit a current, 2020 or later, Federal W-4. Re-run the sync afterward. |
| The Sync could not find the Employee's form '[form name]'. Tax records will be not Synced but other parts of the Employee will still be processed. Attempt the Sync again and if the problem persists contact Support. | Write (Arcoro to Payroll system) | Federal Taxes scope, on an active employee whose Federal Tax record is in effect today and passes the tax year and filing status checks. The Federal W-4 form was found in the payroll system's master list, but retrieving that employee's copy of the form back from the payroll system returned no detail. | Field skipped. Only the Federal Tax write is skipped for that employee; the rest of the employee, and every other scope, still writes. | Re-run the sync. If the message persists for the same employee, escalate to Support. |
| The Federal Filing Status '[filing status value]' is not supported and will not be Synced. Update the data in the source system and execute the Sync again. | Write (Arcoro to Payroll system) | Federal Taxes scope, on an active employee whose Federal Tax record is in effect today and whose Tax Form Year is 2020 or later. The Filing Status value on that record does not match one of the supported values. | Field skipped. Only the Federal Tax write is skipped for that employee; the rest of the employee, and every other scope, still writes. | In the source system, change the employee's Federal Tax Filing Status to a supported value, then re-run the sync. |
| The employee's Federal Tax settings are for a tax year that is not supported by the Sync. Payroll supports the 2020+ Form. Correct the data in the source system and attempt the Sync again. | Write (Arcoro to Payroll system) | Federal Taxes scope, on an active employee whose Federal Tax record is in effect today. The Tax Form Year on that record is earlier than 2020. | Field skipped. Only the Federal Tax write is skipped for that employee; the rest of the employee, and every other scope, still writes. | In the source system, correct the Tax Form Year on the employee's Federal Tax record to 2020 or later, then re-run the sync. |
| The Sync could not find form '[form name]' in the Master list of Tax Forms from CheckHq. Tax records will be not Synced but other parts of the Employee will still be processed. Attempt the Sync again and if the problem persists contact Support. | Write (Arcoro to Payroll system) | Two separate triggers under one message. Federal: the "Federal W-4" form is not present in the payroll system's master list of tax forms. State: for the one state tax record kept per state, when that state is Alabama or Colorado and its Tax Form Year already met the minimum year for that state, the matching state form is not present in the master list. | Federal trigger: field skipped, only the Federal Tax write is skipped for that employee. State trigger: collection item skipped, only that one state's tax record is skipped; other states and the rest of the employee still write. | No source data change resolves this. The required form is missing from the payroll system's own master list. Escalate to Support. |
| State Taxes for the year [tax form year] in [state] are not supported. The minimum year supported is [minimum year for that state]. Please correct the data and attempt to sync again. | Write (Arcoro to Payroll system) | State Taxes scope, for the one state tax record kept per state, on an employee whose state is one of the two states with a configured minimum year: Alabama (minimum year 2020) or Colorado (minimum year 2024). The record's Tax Form Year is below that state's minimum. State tax processing only runs when the employee is newly added, or on update when the employee's work location has changed. | Collection item skipped. Only that one state's tax record is skipped; other states and the rest of the employee still write. | In the source system, correct the Tax Form Year on that employee's state tax record to meet the state's minimum, then re-run the sync. |
Confirming the Error
- Open the sync execution in Sync History for the connector.
- Find the step for this Payroll connector and open it.
- Find the employee's row in that step's entity list.
- Check the Errors column for that row. Any of these six messages appears there, not under Warnings or Information.
- Open the errors list for that row and match on the fixed part of the sentence, ignoring the values inside quotes, since those vary per employee, form, or state.
- Check the Added or Updated column for the same row. A non-zero Errors count next to a successful Added or Updated count is expected for these six messages, since only the tax record is left behind while the employee itself still syncs.
- A non-zero Failures count is not caused by any message in this article. If the row also shows a Failures count, treat that as a separate issue and do not assume these tax messages are the cause.
Resolving the Error
The Employee’s Federal W-4 Form Is for a Tax Year Prior to 2020 (Read)
- Confirm that the employee's Federal W-4 on file in the payroll system is an older, pre-2020 version.
- Have the employee complete a current, 2020 or later, Federal W-4 directly in the payroll system.
- Re-run the sync and confirm the employee's row no longer shows this message in the Errors column.
The Sync Could Not Find the Employee’s Form (Write)
- Re-run the sync for the affected employee.
- If the message returns for the same employee on a second attempt, escalate to Support with the employee identifier and the sync execution.
The Federal Filing Status Is Not Supported (Write)
- In the source system, open the employee's Federal Tax record.
- Set the Filing Status field to one of the supported values: Single, Single or Married Filing Separately, Head of Household, Married, Married Filing Jointly, Married Filing Separately, Non-Resident Alien, Non-Resident Alien Single, or Non-Resident Alien Married.
- An unspecified filing status, or a status of Widow(er) with Dependent Child, is not supported and will produce this message again.
- Save the change and re-run the sync. Confirm the employee's row no longer shows this message.
The Employee’s Federal Tax Settings Are for a Tax Year That Is Not Supported (Write)
- In the source system, open the employee's Federal Tax record.
- Correct the Tax Form Year field so it is 2020 or later.
- Save the change and re-run the sync. Confirm the employee's row no longer shows this message.
The Sync Could Not Find Form in the Master List of Tax Forms (Write)
- There is no source data fix for this message. It means a form the payroll system is expected to already provide is missing from its own master list.
- Re-run the sync once in case it was a transient lookup issue.
- If it persists, escalate to Support with the employee identifier, the form name from the message, and whether it occurred on a Federal Tax or a State Tax record.
State Taxes for the Year Are Not Supported (Write)
- Confirm the employee's state on the affected record is Alabama or Colorado. State tax year checks and processing are not implemented for any other state today.
- In the source system, open the employee's State Tax record for that state.
- Correct the Tax Form Year so it meets the minimum for that state: 2020 for Alabama, 2024 for Colorado.
- Save the change and re-run the sync. Confirm the employee's row no longer shows this message.
When to Escalate
If any of the following occur, you may need to reach out to Arcoro support for additional assistance.
- The message persists after the source data has been corrected and the sync has been re-run.
- The message is "The Sync could not find the Employee's form" or "The Sync could not find form in the Master list of Tax Forms." Neither has a source-data fix; both point to a form missing on the payroll system's side.
- The employee's state is Alabama or Colorado but the Tax Form Year is already correct, since the minimum year is fixed per state in the sync configuration and is not something Tier 1 can change.
- A State Taxes message for a state other than Alabama or Colorado. That should not happen based on the current code, so treat it as a case for a developer.
- The log text does not match any row in the table above, or reads like it came directly from the payroll system rather than from Arcoro.
