Every message in this article comes down to one of two things:
- A pay schedule, pay group, or employee type value on a record does not match anything Payroll has set up.
- Two records sent to Payroll disagree with each other about pay.
Payroll requires an employee, time record, expense, or time off balance to be tied to a specific pay schedule or pay group before it can process pay, so a missing or unmatched value stops that one record rather than guessing which payroll it belongs to. Read this article together with the sync log entity counts, since the fix is almost always a data correction in the source system or in Payroll, not a connector setting.
Error Messages
| Message text | Direction | Occurs when | Outcome | Fix |
|---|---|---|---|---|
| Employee Pay Schedule is required by Payroll. This record will not be synced. Correct the data in the source system and execute the sync again. | Arcoro to Payroll (write) | The employee record has no value at all in the Pay Schedule field. | Record skipped. The employee is not synced. | Set a Pay Schedule on the employee in the source system. |
| No active pay schedule '[pay schedule name]' was found in Payroll. This record will not be synced. Correct the data and run the sync again. | Arcoro to Payroll (write) | The employee has a Pay Schedule value, it is not the reserved value used for terminated employees, and either no pay schedule with that exact name (case-insensitive) exists in Payroll, or a pay schedule with that name exists but is marked inactive in Payroll. | Record skipped. The employee is not synced. | Create or reactivate a pay schedule in Payroll with that exact name, or correct the Pay Schedule value on the employee in the source system to match an active pay schedule in Payroll. |
| Employee Type is required by Payroll and the provided value '[compensation type]' is missing or could not be converted to a valid type. This record will not be synced. Correct the data in the source system and execute the sync again. | Arcoro to Payroll (write) | The employee's Compensation Type is not Salary or Hourly. Payroll only accepts those two values for Employee Type; any other value, including a blank one, fails the conversion. | Record skipped. The employee is not synced. | Set the employee's Compensation Type to Salary or Hourly in the source system. |
| The pay schedule '[pay group]' for the Time Record could not be matched to a Pay Schedule in Payroll. The record will not be Synced. Please update the missing information and execute the Sync again. | Arcoro to Payroll (write), and Payroll to Arcoro (read) | Write side: the time record has a Pay Group value, it is not the terminated-employee reserved value, and it does not match (case-insensitive on one check, case-sensitive on the other validation check earlier in the same method) the name of any pay schedule in Payroll. In practice a Pay Group that differs from the Payroll pay schedule name only by letter case can be rejected before the case-insensitive match is ever reached. Read side: this is the connector's own Pay Schedule run parameter, not an employee value. It fires when the name entered for that parameter does not match any pay schedule name in Payroll. | Write side: record skipped, that employee's time record is not synced. Read side: sync stopped, nothing is read for this run. | Write side: correct the time record's Pay Group value in the source system so it matches a pay schedule name in Payroll exactly, including letter case. Read side: correct the Pay Schedule value entered when the sync was run so it matches an existing pay schedule name in Payroll, then run the sync again. |
| The pay schedule for the Time Record is not set, and as a result, it cannot be Synced. Please update the missing information and execute the Sync again. | Arcoro to Payroll (write) | The time record has no value at all in the Pay Group field. | Record skipped. That employee's time record is not synced. | Set a Pay Group on the time record in the source system. |
| No earning rates found for this employee in payroll. The time cards for this employee will not be processed. Provide the missing data in payroll for this employee and execute the Sync again. | Arcoro to Payroll (write) | Payroll has no earning rates at all set up for this employee. | Record skipped. All of this employee's time cards for the run are not synced; other employees are unaffected. | Add at least one earning rate for the employee in Payroll. |
| The company does not contain an Earning Code in Payroll for '[rate code or plan name]'. The time cards for this Pay Schedule will not be processed. Either add the Earning Rate in Payroll for the Employee or modify the Source System to use a different Pay Schedule for the time cards and execute the Sync again. | Arcoro to Payroll (write) | A single time entry's rate code (or plan name, when set) does not match the name of any company-level earning code in Payroll, case-insensitive. | Collection item skipped. Only that one time entry is dropped; the rest of the employee's time cards and other employees still sync. | Add a company earning code in Payroll with that name, or correct the rate code used in the source system. |
| The employee does not contain an Earning Rate in Payroll for '[rate code or plan name]'. The time cards for this Pay Schedule will not be processed. Either add the Earning Rate in Payroll for the Employee or modify the Source System to use a different Pay Schedule for the time cards and execute the Sync again. | Arcoro to Payroll (write) | The company earning code was matched, but this specific employee has no earning rate in Payroll with that same name. | Collection item skipped. Only that one time entry is dropped; the rest of the employee's time cards and other employees still sync. | Add an earning rate for that employee in Payroll under that earning code name. |
| Wage Determination - Employee cannot have multiple earnings of the same type (REG, OT, DT) with different compensation amounts. Please correct the employee's compensation and execute the sync again. | Arcoro to Payroll (write) | Wage Determination is enabled for the company, and among the time entries in this sync run for the same job and labor classification, the employee's earning rate has more than one distinct dollar amount for the same earning type (Regular, Overtime, or Double Time). The check only applies to time entries that match an active Wage Determination pay rate table and labor class rule for that job and classification. | Collection item skipped. Only the conflicting time entry is dropped; the rest of the employee's time cards still sync. | Correct the employee's compensation so the same job, labor classification, and earning type resolve to a single rate amount, then run the sync again. |
| The pay schedule '[pay group]' for the Expense could not be matched to a Pay Schedule in Payroll. The record will not be Synced. Please update the missing information and execute the Sync again. | Arcoro to Payroll (write) | The expense has a Pay Group value, it is not the terminated-employee reserved value, and it does not match the name of any pay schedule in Payroll (case-sensitive at the validation check that raises this message). | Record skipped. That employee's expense record is not synced. | Correct the expense's Pay Group value in the source system so it matches a pay schedule name in Payroll exactly, including letter case. |
| The pay schedule for the Expense is not set, and as a result, it cannot be Synced. Please update the missing information and execute the Sync again. | Arcoro to Payroll (write) | The expense has no value at all in the Pay Group field. | Record skipped. That employee's expense record is not synced. | Set a Pay Group on the expense in the source system. |
| The Pay Schedule for employee '[employee identifier]' is not set. The record will not be Synced. Please update the missing information in the source system and execute the Sync again. | Arcoro to Payroll (write) | The time off balance record has no value at all in the Pay Group field. | Record skipped. That employee's time off balance record is not synced. | Set a Pay Group on the time off balance record in the source system. |
| The Rate Code's Code property is required by Payroll. This record will not be synced. Correct the data in the source system and execute the sync again. | Arcoro to Payroll (write) | The rate code record has no value in the Code field. | Record skipped. That rate code is not synced. | Set a Code value on the rate code in the source system. |
| The Rate Code's Type property is required by Payroll. This record will not be synced. Correct the data in the source system and execute the sync again. | Arcoro to Payroll (write) | The rate code record has no value in the Type field. | Record skipped. That rate code is not synced. | Set a Type value on the rate code in the source system. |
| A Rate Code with [Code and Rate Type] has been sent to Payroll multiple times. Only the first Rate Code received will be processed and saved. Correct the source data and run the sync again. | Arcoro to Payroll (write) | Two or more rate codes in the same sync run share the same Code and Type combination, case-insensitive. | Record skipped. Only the first rate code with that Code and Type is processed; every later duplicate in the same run is dropped. | Remove or correct the duplicate rate code in the source system so each Code and Type combination appears once. |
| General Ledger mapping errors occurred: [list of mapping error details]. | Payroll to Arcoro (read) | Payroll's own general ledger query for the requested pay date and pay schedule returned one or more mapping errors. | Record skipped. Nothing is read for this run; there is only one general ledger record per run. | Read the specific error text in the message for the cause, then correct the underlying payroll data in Payroll before running the sync again. Escalate if the error text is not self-explanatory. |
| No payrolls were found for the PayDate [pay date] and Pay Schedule [pay schedule]. | Payroll to Arcoro (read) | Payroll's general ledger query returned zero distinct payrolls for the Pay Date and Pay Schedule entered as run parameters. | Record skipped. Nothing is read for this run. | Confirm a payroll exists in Payroll for that exact pay date and pay schedule, then run the sync again with matching values. |
| Multiple payrolls found for the PayDate [pay date] and the PaySchedule [pay schedule]. | Payroll to Arcoro (read) | Payroll's general ledger query returned more than one distinct payroll for the Pay Date and Pay Schedule entered as run parameters. | Record skipped. Nothing is read for this run. | Narrow the Pay Date or Pay Schedule run parameter so only one payroll in Payroll matches, then run the sync again. |
Confirming the Error
- Open Sync History and find the sync execution for the date and time in question.
- Open the step for the Payroll connector.
- Find the row for the entity named in the message: Employee, Time Record, Expense, Time Off Balance, Rate Code, or General Ledger.
- Check the Errors column for that entity row. A non-zero count means at least one error was logged; open the errors list for that entity to see the message text.
- Match on the fixed part of the sentence, for example "is required by Payroll" or "could not be matched to a Pay Schedule", not on the pay schedule name or employee identifier inside the quotes, since those values are specific to your data.
- For the Time Record read-side pay schedule message and the three General Ledger messages, a non-zero Failures count is expected: these messages stop the read for that entity and the record is reported as a failure, not only as an error. For every other message in this article, the Failures count is not expected to move; the record shows as an error and the Added, Updated, and Unchanged counts for that entity will simply be short by the number of skipped records.
Resolving the Error
Pay Schedule or Pay Group Not Set
- Identify the entity from the message: Employee, Time Record, Expense, or Time Off Balance.
- In the source system, open that record and check the Pay Schedule or Pay Group field.
- Enter a value. It must be the exact name of an existing pay schedule in Payroll.
- Re-run the sync and confirm the record no longer appears in the Errors list for that entity.
Pay Schedule or Pay Group Not Matched
- In Payroll, confirm a pay schedule exists with the exact name used in the source system, including letter case.
- For the Employee entity, also confirm that the pay schedule is marked active in Payroll; an inactive pay schedule with a matching name still produces this error.
- If the pay schedule does not exist in Payroll, either create it in Payroll or correct the source system value to match an existing active pay schedule.
- Re-run the sync and confirm the record moves out of the Errors list.
Earning Rates Missing
- In Payroll, open the employee named in the sync log context (visible on the parent Employee record, not in the Time Record message itself).
- Confirm the employee has at least one earning rate set up. If none exist, add the earning rates the employee needs in Payroll.
- If only a specific rate code or plan name is failing to match, confirm the company has a matching earning code, and that the employee has an earning rate under that same name.
- Re-run the sync and confirm the time entries for that employee are processed.
Employee Type (Compensation Type)
- In the source system, open the employee and check the Compensation Type field.
- Set it to Salary or Hourly. No other value is accepted by Payroll.
- Re-run the sync and confirm the employee moves out of the Errors list.
Rate Codes
- In the source system, open the rate code and confirm both Code and Type are populated.
- If the same Code and Type combination was sent more than once in the same run, correct the source data so each combination is unique.
- Re-run the sync and confirm the rate code was created or updated in Payroll.
General Ledger Payroll Matching
- In Payroll, confirm exactly one payroll exists for the Pay Date and Pay Schedule entered when running the sync.
- If none exist, correct the pay date or pay schedule value and run the sync again.
- If more than one exists, narrow the pay schedule or pay date so only one payroll matches.
- If the message reports mapping errors instead, read the specific error text for the underlying cause in Payroll before re-running.
When to Escalate
If any of the following occur, you may need to reach out to Arcoro support for additional assistance.
- The error persists after the pay schedule, pay group, employee type, or rate code data has been corrected and confirmed in both systems.
- The message text in the log does not match any message in the table above.
- The general ledger mapping error text is not self-explanatory or points to a payroll calculation issue rather than a pay date or pay schedule mismatch.
- The Wage Determination conflicting rates message appears, but there is only one compensation amount for the job and labor classification in question.
