Understanding the Arcoro Time & Viewpoint Spectrum Integration

This integration keeps company setup information — businesses, departments, unions, cost codes, jobs, equipment, and employees — flowing automatically from Viewpoint Spectrum into Arcoro Time, and sends approved time cards back to Spectrum for payroll approval. 

This integration removes the double entry and the manual export, and adds validation so a bad job number, a missing rate code, or an unresolved department is caught and reported — instead of silently landing wrong, or not at all, in Spectrum's own import screen.

This integration does not replace, upgrade, or interact with the legacy AccountLinx/SyncLinx exporter in any way. This is a separate, modern connector built directly into the Arcoro Integrations platform — not built on top of, or compatible alongside, AccountLinx, to allow you to not need to install or configure AccountLinx/SyncLinx.

How it Works

An implementation consultant configures a Viewpoint Spectrum connector using either Basic or Enhanced Authentication, pointing it at your Spectrum web services and Info-Link database, and chooses which companies to include and in what order.

On a schedule, company setup information is read from Spectrum — businesses (companies), departments, unions, cost types, cost codes, jobs/locations/work orders, equipment types, equipment, pay types (as rate codes), wage codes (as labor classifications), and employees — and written into Arcoro Time, so crews see the same jobs, cost codes, and coworkers that exist in Spectrum without anyone re-entering them.

Field crews clock in and log time in Arcoro Time as usual, against the jobs, cost codes, and employee records that arrived from Spectrum.

On a schedule, approved time cards are read from Arcoro Time and sent to Spectrum as Pre-Time Card lines, landing in Spectrum's Payroll Approve Pre-Time Import screen for a payroll admin to review and approve — exactly like a manual import would, but without anyone building or uploading a file. Equipment used on a time card is sent as its own line so machine hours can be costed to the job.

If information already sent to Spectrum changes in Arcoro Time before payroll approves it, the change is reported so the payroll admin knows to double-check it — Spectrum's pre-time card import cannot be edited or replaced automatically once a line is submitted.

Requirements & Prerequisites

  • You must have both Arcoro Time (formerly ExakTime) and Viewpoint Spectrum.
  • Access to Spectrum's web services and Info-Link database: a Service URL, an Authorization ID authorized for each operation this connector uses under Spectrum's own Data Exchange settings, and Info-Link database credentials.
  • Either Basic Authentication or Enhanced Authentication (Client ID and Client Secret), depending on how your Spectrum environment is configured.
  • Network access (typically a VPN) that lets Arcoro's Integrations platform reach your Spectrum and Info-Link servers.
  • The Arcoro Hub platform is enabled for your account as Business information is held there rather than in Arcoro Time directly.
  • If you also have Arcoro Core HR, employees are owned by Core HR instead of this integration connection. See this section for more information.

How Data Syncs and Data Mapping

This integration moves information in both directions: company and employee setup data flows from Spectrum into Arcoro Time, and approved time flows back from Arcoro Time into Spectrum. Each group below states its direction once, then shows what moves and what an implementer or admin should know about it.

Company and Payroll Setup Information

The following data fields are read from Viewpoint Spectrum into and written to Arcoro Time, on every scheduled sync. Nothing in this group is sent back to Spectrum.

Equipment marked inactive in Spectrum comes across as inactive rather than being left out, so it can be reactivated automatically if it becomes active again.

Employee Information

The following data fields are read from Viewpoint Spectrum into and written to Arcoro Time, on every scheduled sync.

Resolved separately from the rest of the employee record; if the business can't be matched, the rest of the employee's information still syncs and only the business assignment is reported as pending.

Please Note

  • Pay type translates as it crosses over: Spectrum pay type “S” (Salary) becomes “Salary” in Arcoro Time; “H” (Hourly) becomes “Hourly”.
  • The following data fields are not synced with this group: Social Security Number, tax setup, direct deposit, and benefits are not part of this direction of the connector. Skill level, ethnicity, cost code assignment, work state, pay group, and facility have no reliable equivalent in Spectrum and are not brought across.

Time & Attendance

Direction: read from Arcoro Time and sent to Viewpoint Spectrum, on every scheduled export, and only after time is approved in Arcoro Time. This is the one group in this document that flows the opposite way from the three above.

The hours logged reflect the actual time the machine ran, split fairly across everyone who used it during the same window.

Please Note

  • Pay type translates using whatever your Spectrum system defines: for example, an Arcoro Time rate code named after Spectrum's “R” (Regular) round-trips back to “R”; “O” (Overtime) round-trips to “O”; “D” (Double Time) round-trips to “D” — because these rate codes were themselves read in from Spectrum in the first group above.
  • The following data fields are not synced with this group: pay rate amount, cost center, and expenses are not part of this export. Once a line reaches Spectrum's approval screen, this integration cannot edit or delete it — only a person working in Spectrum can do that.

Limitations

  • Does not delete or deactivate anything in Arcoro Time (or the Hub) when the matching record disappears from Spectrum. A department, union, cost code, cost type, category, group, equipment type, location, piece of equipment, or employee that stops coming from Spectrum is left exactly as it was — active — until someone changes it by hand.
  • Does not sync expenses in either direction.
  • Does not edit or replace a time card line already sent to Spectrum. Spectrum's import is add-only; a changed line is only reported, never corrected automatically.
  • Does not attach a Category or Group to Equipment or Cost Codes today.
  • Does not carry a cost code's link to its cost type through to Arcoro Time, and does not carry a cost code's business assignment through either — both exist in Spectrum but do not appear on the Arcoro Time record today.
  • Does not carry Social Security Number, tax setup, direct deposit, or benefits information in either direction.
  • Does not set an equipment cost or rental rate on the Arcoro Time equipment record — Spectrum's equipment rates are not available through this connection today.
  • Does not bring employees across from Spectrum at all when you also have Arcoro Core HR enabled — Core HR is treated as the system of record for people in that case, and this connector stands aside for the whole run.

FAQs

Can this send time directly into Spectrum's payroll?

No. Every time card lands in Spectrum's own Payroll Approve Pre-Time Import screen for a person to review and approve, exactly as a manual import would.

What happens if I fix a mistake in Arcoro Time after the time card already went to Spectrum?

The change is reported so a payroll admin knows to double-check it in Spectrum, but Spectrum's import can't be edited or replaced automatically once a line has been submitted.

Does this replace our old Spectrum export?

For those moving off the legacy AccountLinx (SyncLinx) export, yes — but the two do not run side by side, and this integration is a separate, modern replacement, not an upgrade to AccountLinx.

Will this delete old departments, cost codes, or employees we removed from Spectrum?

No. See Section 7 — nothing is ever deleted or deactivated automatically by this connector.
