Construction companies rely on locations for nearly everything: job sites and offices drive where crews clock in, how payroll is mapped, which onboarding business unit a new hire lands in, and how training is assigned. For this, you had to maintain the same location in several product screens: one for Arcoro Time (formerly ExakTime), one for Core HR, one for Onboarding, one for Talent, and Payroll workplaces on top of that.
That duplication costs administrators time and creates mismatched names, addresses, and statuses across products, which shows up later as payroll mapping issues and confused employees in the field.
Location Management gives company administrators one place in Arcoro Unified to add, find, update, and deactivate locations, with changes reaching every connected Arcoro product as soon as they save.
The new Location Management allows you to:
- Enter it once - Add a location's name, ID, type, and address one time and it reaches every Arcoro product that needs it, with no re-entry.
- Keep data consistent - Edits and deactivations made in the Hub are written directly to each connected product when you save, so locations stop drifting out of step.
- Cleaner location lists - Every location has a unique name and location ID, so admins and employees always know which location they are choosing from a dropdown.
- Assign employees in one step - When you open a new office, assign everyone who works there from the location page instead of editing each employee record.
- Reduce assignment errors - Before deactivating a location, admins see exactly how many employees are assigned, and inactive locations can no longer be assigned to employees.
- Manage product settings in context - Talent, Onboarding, Core HR, and Arcoro Time settings for a location live on tabs of the same location page instead of separate screens.
- Control who can change what - Location access follows the permissions people already hold in each product, with no manual setup.
Enhancements
The location management menu can be found from the Arcoro Dashboard by expanding "Workforce Setup" and clicking Locations.
Locations Menu
- The list shows Location ID, Name, City, State, Office, Time, and Status. Search by name, location ID, or city, and filter by Office, Time, or Status.
- Companies with more than one active business unit across Talent and Onboarding also see a filterable Business unit column. Business units with the same name in both products appear as one filter option. When a location has different units in each product, the column shows the first unit plus a count (for example, "Commercial +1"), with the full list on hover.
- A company with no locations yet sees a short explanation of what locations are for and, for users with edit access, an Add action.
Adding a Location
The Add location dialog. It asks only for shared details; other product-specific settings, such as Talent business units and time policies, are set afterward on the location's page.
- Location details: Name (required), Location ID, Location code, and Status (defaults to Active). The name and location ID must each be unique within the company, including inactive locations.
- Location type: Two separate switches, Office and Time. A location can be one or both. Every location is available in Arcoro Time and Payroll; the Time switch sets whether it is active in Arcoro Time. Turning on Office also makes the location available in Core HR, Onboarding, and Talent.
- Business unit: For companies with Onboarding business units, Office locations require a business unit when they are added, so the location can be set up in Onboarding right away.
- Address: Search for an address to fill the fields automatically and preview it on a map, or enter it by hand: address lines, city, country, state/province/region, postal code, latitude, and longitude.
- If a required field is blank, or the name or location ID is already in use, the dialog stays open and points to each field to fix. If a save fails, entries stay in place so you can try again.
Location Details
Opening a location shows its name and Location ID with tabs for each part of the record. Select Edit to change values; a save and cancel bar appears once something changes. Saving stores the tab you are editing. If you switch tabs with unsaved changes, you are asked whether to save or discard them.
- General: Location details (status, ID, name, location code, and the Office and Time switches), the address, and a map with latitude and longitude. A location already linked to a Payroll workplace keeps today's rule: its address cannot be changed here, and the page explains why.
- Employees: Lists employees currently assigned to the location (name, employee ID, job title, department, and status) for users with employee view access. On Office locations, admins can select Edit and assign one or more employees at once. Assigning an employee here updates their primary location on the employee record (in Core HR, the first location on the Employment tab) and moves them from any location they were assigned to before. Employees can only be assigned to Office locations; on other locations, the tab explains this and points to the Office switch on the General tab. For Arcoro Time customers, a note explains that assignment here does not change where an employee can clock in.
- Talent: For Office locations at companies with Learning or Performance, assign the location's Talent business unit.
- Onboarding: For Office locations at companies with Onboarding, assign the location's Onboarding business unit and manage store details such as legal name, Federal EIN, phone, E-Verify, payroll code, and TaxBreak location ID. These fields apply only to Onboarding and follow the same rules as Onboarding today, including when Federal EIN is filled in automatically and locked.
- Core HR: For Office locations at companies with Core HR, manage Core HR location details: unit number, county, location code 2, two location contacts, two phone numbers, fax, and description.
- Time: For companies with Arcoro Time, manage every Arcoro Time location setting on one page of cards, with no need to return to the Arcoro Time screens:
- Contact information and additional settings (category and comments for Time users)
- Policies: daily overtime, in/out rounding, and time range rounding
- Pictures, synced both ways with Arcoro Time
- GPS geofence radius
- JobClocks, including correcting effective dates and transferring a JobClock to this location
- Field notes, with search, photos, and audio downloads
- Viewsets: limit which cost codes employees can choose at this location
- Location custom fields
Special Considerations
Business Units by Product
Business unit assignment stays with each product, matching how customers work today. A location can belong to one business unit in Talent and a different one in Onboarding, and changing one never changes the other. In both tabs, you start from the location and pick its business unit.
Office and Time Settings
- Turning Time off makes the location inactive in Arcoro Time only. It stays active in every other product. Turning Time back on reactivates it in Arcoro Time.
- Turning Office off removes the location from Core HR, Onboarding, and Talent. It is marked inactive in products that support an inactive status and removed from products that do not. The location stays in Arcoro Time and Payroll.
Deactivating a Location
Turn the Status switch off to deactivate a location everywhere. Before confirming, admins see how many employees are assigned to it as a primary or additional location. Confirming marks the location inactive in every connected product, turns off both Office and Time, and clears those employee assignments, so no employee is left pointing to an inactive location. Inactive locations are no longer offered when assigning employees. Cancelling leaves everything unchanged.
Reactivating a location asks you to choose Office and Time again, the same way as adding a new location.
FAQs
- Do I still need to update locations in Arcoro Time, Core HR, or Onboarding?
No. Changes saved in the Hub reach each connected product as soon as they are saved. Once a company is enabled, each module's location menu opens Locations in the Hub.
- What is the difference between Office and Time?
They are two separate switches, and a location can be both. Every location is available in Arcoro Time and Payroll, and the Time switch sets whether it is active in Arcoro Time. Office makes the location available in Core HR, Onboarding, and Talent as well, and lets employees be assigned to it. A job site used only for clocking in is typically Time only.
- Why am I asked to change a location's name or ID when I edit it?
Arcoro now requires every location in a company to have a unique name and location ID, so locations can be told apart in every product and sync correctly to Payroll. Existing duplicates keep working, but the next time one is edited, give it a unique name and ID (for example, "Headquarters (old)") before saving.
- Can I assign employees from the location page?
Yes, on Office locations. Select Edit on the Employees tab and choose one or more employees. This updates each employee's primary location, the same value shown on the employee record. It does not change where employees can clock in.
- What happens to employees when a location is deactivated?
The admin sees how many employees are assigned before confirming. On confirm, the location's primary and additional assignments are cleared for those employees across products, Office and Time are turned off, and the location can no longer be assigned.
- Can a location have different business units in Talent and Onboarding?
Yes. Each product keeps its own business unit assignment, just as it does today.
- Why can't I change the address on some locations?
Locations linked to a Payroll workplace keep today's rule: the address is locked to protect Payroll mapping, and the page explains this.
- Will integrations that write locations keep working?
Yes. Integrations can continue writing locations to Arcoro Time or Core HR, and those changes appear in the Hub through existing sync. Integrations that update locations through the unified platform API must send the full location object and should match on the Hub Location ID.
- Can I link a location to a business entity?
Not yet. Business entity association is planned as follow-up work once business entities can be created in the Hub.
