Setting Up & Using E-Verify for Onboarding

E-Verify is a service offered through EMPTrust HR to help your Onboarding process. After acquiring the EMPTrust HR service and the training for its use, some steps are required in Onboarding to link the two together.

Setting Up E-Verify

  1. Click Administration from the top menu bar of Onboarding.

  2. Enable E-Verify services with the drop-down menu and enter the E-Verify Client #.

    • The E-Verify Client # should begin with "CST" and be followed by a 4-5 digit number. For example, the client # could appear as "CST9999".

  3. Click Save when finished.

Enabling E-Verify for Locations

For employees to go through the E-Verify process, the option must be enabled for each location in Onboarding.

  1. Click Administration from the top menu bar of Onboarding.

  2. In the Administration menu, click Locations.

  3. Click Add Location. to create a new location or click ... under the Action column and click Edit

  4. Enable the E-Verify option as appropriate.

Using E-Verify

While completing a new hire's paperwork, the manager will be able to review the E-Verify status and take the appropriate action for any failures.

  • If the new hire receives a success, it will be indicated like below:

  • If the new hire receives a failure, the new hire's data can be corrected/updated through the EMPTrust portal to get them through the process.

Reviewing EMPTrust Data

After your E-Verify requests have been submitted and fulfilled, you should refer to EMPTrust, as they would be considered the system of record for E-Verify documentation and reporting. If your organization needs to review and/or confirm an employee's verification, you must log in to EMPTrust and pull the confirmation report for an individual. If you have any additional reporting questions, you can reach out directly to EMPTrust support (Email: support@emptrust.com)

In Case Of Error or Failure

If an E-Verify submission receives an error or failure in Arcoro, first check your EMPTrust Portal to determine whether the employee's information was successfully received.

Step 1: Check Whether an E-Verify Case Was Created 

Log in to the EMPTrust Portal and first check whether an E-Verify case was created for the employee.

  • If a case was created: Review the case in EMPTrust for its current status and any actions that may be required.
  • If a case was not created: Check whether the employee's information was received by EMPTrust as a draft by following Step 2 below.

Step 2: Check for a Draft in EMPTrust

  1. Go to Create New Case.
  2. In the First Name field, begin typing the employee's name. 

If the employee appears in the dropdown, their information was received by EMPTrust but may not have been successfully submitted to E-Verify. Select the employee's existing record. The information received from Arcoro will populate automatically.

Review the employee's record for any missing required information, which may include:

  • Location
  • Social Security Number (SSN)
  • Section 2 document information
  • Other information required to create the E-Verify case

If required information is missing, enter the missing information and submit the case to E-Verify directly from EMPTrust.

If the employee's information appears complete but you are unable to submit the case, or you need assistance with an error or functionality within EMPTrust, contact EMPTrust Support at support@emptrust.com.

If the Employee Record Is Not Found in EMPTrust

If an E-Verify case was not created and the employee does not appear in the "First Name" dropdown on the Create New Case page:

  1. Create the E-Verify case manually in EMPTrust to complete the employee's E-Verify submission.
  2. Contact Arcoro Support to report the failed transmission so the issue can be investigated.

Before contacting Arcoro Support, confirm that E-Verify services are enabled under Administration in Onboarding.

Even if you are able to successfully create the case manually in EMPTrust, please report the failure to Arcoro Support. Arcoro Support can review your E-Verify configuration and investigate why the employee's information was not successfully transmitted to EMPTrust. If additional investigation by EMPTrust is required, Arcoro Support can engage EMPTrust as needed.

If Failures Are Happening Repeatedly

If E-Verify failures are occurring repeatedly or affecting multiple employees, contact Arcoro Support, even if you are able to locate and manually process the individual employee records in EMPTrust.

Repeated failures may require additional investigation to determine whether there is a configuration or integration issue.

An alternate option is to complete the process using a paper copy and upload the documents to the employee docs in Core HR or Onboarding.
