AccountLinx is an application we offer that bridges the gap between Spectrum Dexter & Chaney and ExakTime Connect. With AccountLinx, you can:

• Data map between corresponding entities of ExakTime and QuickBooks Online.
• Enable various settings to help tailor your time data for QuickBooks Online.
• Export time data into a compatible file from ExakTime Connect to import into Spectrum for reporting, payroll, and more.

SyncLinx is the other half of AccountLinx and allows you to import your Spectrum entities into ExakTime to limit duplication of effort. If you would like steps on setting up SyncLinx and importing your Spectrum entities, refer to our article that covers connecting the applications and the importer settings.

As Spectrum allows flexibility to fit various needs, we cannot take every unique setup into account. It is advised to read through this article before setting up SyncLinx/AccountLinx to understand what is needed ahead of time.

Selecting Spectrum as your Exporter

1. Go to Tools and click Exporter Settings.... 
2. The Exporter Settings window should open. Click Select Exporter.... 
3. A window with a list of available exporters should open. Select "Spectrum Dexter & Chaney" and click OK.

AccountLinx Settings Unique to Spectrum

The Spectrum exporter for AccountLinx offers a variety of settings when exporting your time data to help tailor the time data to your company's needs. These settings are unique to AccountLinx and will not affect ExakTime Connect or Mobile. If any of the settings offered do not sound familiar to you, then you may not be using the setting in Spectrum and leave it as <None>. 

1. Go to Tools and click Exporter Settings.... 
2. The Exporter Settings window should open. Click Configure....
3. The Configuration window should open. You should see the following options and tabs.
   General

   • Regular Pay Type - This pay code will be used when exporting your time data for any overtime hours worked by an employee. This should match the overtime pay code from Spectrum.
   • Overtime 1 Pay Type - This pay code will be used when exporting your time data for any overtime hours worked by an employee. This should match the overtime pay code from Spectrum.
   • Overtime 2 Pay Type - This pay code will be used when exporting your time data for any doubletime/premium hours worked by an employee. This should match the doubletime/premium pay code from Spectrum.
   • Phase - Associate the phase with the Employee, Location, Cost Code, or <None>.
   • Department - Associate the department with the Employee, Location, or Cost Code.
   • Alternate Pay ID to - Associate an alternate earning code with an ExakTime employee, location, or cost code. The alternate earning codes entered should match your Spectrum earning code.
     • This is generally used to help differentiate if an employee should receive a different pay type depending on who it is, where they worked, or what they did.
     • For more information about alternate earning codes and how they should be used, you can refer to the following article.
   • Company Code - Associate the company code with the Employee, Location, Cost Code, or <None>.
   • Cost Center - Associate the cost center with the Employee, Location, Cost Code, or <None>.
   • Equipment Code - Associate the equipment code with the Employee, Location, Cost Code, Equipment, or <None>.
   • Equipment Cost - Associate the equipment cost with the Employee, Location, Cost Code, Equipment, or <None>.
   • Map Phase to - Associate a phase with an employee, location, or cost code. The phase should match the Spectrum phase.
   • Map Pay Rate to - Associate a pay rate/amount with an employee, location, or cost code. 
   • Phase mapping required - If the phase is not mapped for the entity, it will result in an export error.
   • Cost Type mapping required - If the cost type is not mapped for the entity, it will result in an export error.
   • Job mapping required - If the job is not mapped for the entity, it will result in an export error.
   • Department mapping required - If the department is not mapped for the entity, it will result in an export error.

   Comments/Notes

   Select the type of notes/comments that should be included with the time record when exported.

   • Employees
   • Location
   • Cost Codes
   • Time Record

   Export Version

   Select your Spectrum version to determine the export type.

   • Below 14.0
   • 14.0 or Above
   • 2021 or Above
4. Click OK on the Configuration window and click OK on the Exporter Settings window to return to the main page of AccountLinx.
5. Click the appropriate "Map Employee/Location/Cost Code/Equipment" option to see the columns from the options enabled in Step 3.

Data Mapping

After configuring your exporter settings for Spectrum, you will need to map your entities so any ExakTime entity for a time record will export with the corresponding Spectrum entity and to complete any relevant fields enabled in the previous section. Exporting Time Data

After mapping your entities, you can export your time data to import into Spectrum. Refer to the following article if you are unfamiliar with exporting time data from AccountLinx.

When exporting time data from AccountLinx, the batch number will generally be the start or end date of the payroll cycle.

Example of AccountLinx Export

An example of an AccountLinx export opened in Excel has been provided below. The columns have been preformatted based on Spectrum's template. There are some blank columns as we are trying to best match the export file to Spectrum's template and not all fields are used by us.

While you can manipulate the exported data after it has been exported, it is highly discouraged as it can result in data discrepancies when double-checking any data due to automatic data reformatting that can occur with spreadsheet applications such as Excel.

How to Import Time Data into Spectrum

While the steps below may not cover all scenarios of importing into Spectrum, they should cover the basics of what to expect.

• Select the exported file.
