With AccountLinx, you can export your employees' time data and expenses from ExakTime Connect into a compatible file for Paychex Flex.

We will try to assist you as much as we are able, but there are aspects of Paychex that are out of our area of expertise, and your questions may be better served by Paychex support or your trusted contact to answer/assist.
As Paychex allows flexibility to fit various needs, we cannot take every unique setup into account. It is advised to read through this article before setting up AccountLinx to understand what is needed ahead of time.
Selecting Paychex Flex as your Exporter
- Go to Tools and click Exporter Settings....
- The Exporter Settings window should open. Click Select Exporter....
- A window with a list of available exporters should open. Select "Paychex Flex" and click OK.
AccountLinx Settings Unique to Paychex
The Paychex exporter for AccountLinx offers a variety of settings when exporting your time data to help tailor the time data to your company's needs. These settings are unique to AccountLinx and will not affect ExakTime Connect or Mobile. If any of the settings offered do not sound familiar to you, then you may not be using the setting in Paychex and can leave it as <None>.
- Go to Tools and click Exporter Settings....
- The Exporter Settings window should open. Click Configure....
- The Configuration window should open. You should see the following options and tabs.
- General
- Client ID - The client ID required here is unique to your account.
- Default Earning Codes
- Regular - This earning code will be used when exporting your time data for any regular hours worked by an employee. This should match the earning code from Paychex.
- Overtime - This earning code will be used when exporting your time data for any overtime hours worked by an employee. This should match the earning code from Paychex.
- Overtime2 - This earning code will be used when exporting your time data for any doubletime/premium hours worked by an employee. This should match the doubletime/premium earning code from Paychex.
- Use Alternative Earning Codes

Map Alternative Earning Codes to - Associate an alternate earning code with an ExakTime employee, location, or cost code. The alternate earning codes entered should match your Paychex earning code. This will add a column to the selected entity.
- This is generally used to help differentiate if an employee should receive a different pay type depending on who it is, where they worked, or what they did.

Map Alternative Earning Codes to - Associate an alternate earning code with an ExakTime employee, location, or cost code. The alternate earning codes entered should match your Paychex earning code. This will add a column to the selected entity.
- Optional Settings
- Map Department to - Associate the department with the Employee, Location, or Cost Code. This will add a column to the selected entity.
- Rate Number to - Denotes what pay rate to use for the entity. There are generally up to 5 pay rates. Valid Values are 1, 2, 3, 4, 5, 6 (0.00 Track Memo Hours). This will add a column to the selected entity.
- Labor Assignment to - Associate a labor with the Employee, Location, or Cost Code. This will add a column to the selected entity.
- General
- Click OK on the Configuration window and click OK on the Exporter Settings window to return to the main page of AccountLinx.
- Click the appropriate "Map Employee/Location/Cost Code/Equipment" option to see the columns from the options enabled in Step 3.
Data Mapping
After setting up your Paychex Flex exporter settings, you will need to map your data in AccountLinx so that the time data from AccountLinx will export to the corresponding entities in Paychex Flex. The mapping process is fairly consistent for all applications we integrate with, and some variations depending on your export settings.

Mapping Expenses
Expenses are an optional feature for the Paychex Flex exporter, which allows you to export expense records along with time data for the same date(s). As expenses will only be exported with time records of the same day for an employee, you will need to export at least one time record for the day to export an expense for the same day and employee. The "Mapping Expense Type" menu will allow you to map an expense type with the equivalent "Expense Pay Component" in Paychex. Mapping expenses is similar to mapping employees, locations, and cost codes.
Exporting Time (and Expense) Data
When your exporter settings and your mappings have been completed, you can begin exporting your time data. The export process is consistent for all applications we integrate with. For assistance with exporting time data, you can refer to the following dedicated article.
If you have enabled expenses, when a time record is exported for an employee, any expenses for the same day will also be exported for the employee.
Example of AccountLinx Export
An example of an AccountLinx export opened in Excel has been provided below. The columns have been preformatted based on Paychex Flex's template. There are some blank columns as we are trying to best match the export file to Paychex Flex's template, and not all fields are used by us.
While you can manipulate the exported data after it has been exported, it is highly discouraged, as it can result in data discrepancies when double-checking any data.
If you want to understand how the columns are populated, you can expand the below section:
Rows containing time data will be a single time record, or, if that time record contains hours in multiple Pay Components, just the time within the time record associated to one Pay Component.

How to Import Time Data into Paychex
While the steps below may not cover all scenarios of importing into Paychex, they should cover the basics of what to expect.

- Go to Payroll Center.
- Go to More Options.
- Go to Import Payroll Data.
- Go to Browse.
- Go to Insert File.
- Click Import.
After the hours are imported into the batch in Paychex Flex, you can review the time from the Payroll Center.
