Cost codes are used to track your employees' actions throughout their workday for more detail on their time cards for payroll and job costing, but depending on the level of detail needed, it can make the cost code list longer than desired.
To help make the cost code list more manageable for employees using ExakTime Mobile we have two possible options:
- Location Viewsets - Location viewsets can limit what cost codes can be used for a location for both ExakTime Connect and ExakTime Mobile.
- Cost Code Groups - Groups can organize cost codes into "folders" so employees can focus on certain groupings of cost codes in ExakTime Mobile.

Location Viewsets
Location viewsets are strict and will not allow the use of a cost code not included in the viewset for both ExakTime Connect and ExakTime Mobile.
Setting Up Location Viewsets
- Go to Manage, then click Locations.
- Click the small pencil icon to the left of a location name.
- Click the Viewsets tab.
- Set Viewsets to "Selected Cost Codes" and specify what cost codes are allowed to be used with the location.
- When satisfied, click Save.
- For ExakTime Mobile users, they will need to sync their copies of ExakTime Mobile before they can see any changes to the Location viewsets.
What the Employees See When Using Location Viewsets

With No Viewset - When employees clock in to a location, they will normally be presented with all active cost codes like the example below.

With a Viewset - With Location Viewsets enabled, the available cost codes for the selected location will only be the pre-selected cost codes on ExakTime Connect.
Cost Code Groups
Cost code groups are flexible and help consolidate similar cost codes so it is easier for your employees to find what they need in ExakTime Mobile. Cost Code Groups do not restrict the ability to select a specific Cost Code, they merely organize Cost Codes into a folder-type system to make it easier for employees to find the correct choice.
For example, you can have "Office Cost Codes" and "Field Cost Codes" groups for your respective office and field cost codes to make it easier for your employees. There will also be an "All Cost Codes" group that will always be available for your employees to access.
Enabling Groups for ExakTime Mobile
For your 'Groups' to appear on ExakTime Mobile, you must enable the appropriate option first. This can be done before or after creating your groups.
- Go to Manage then click Company Settings.
- Click the Other tab.
- Enable Show employee, locations, cost code, and equipment groups in ExakTime Mobile.
- Save your changes.
Setting Up Cost Code Groups
- Go to Manage and click Groups.
- Click the Cost Code Groups tab.
- Click Add Cost Code Group.
- Enter a name for your group and click Save.
- Specify the cost codes that should be part of this group. Any changes will be automatically saved.
- Once finished, enable the group to be viewable in ExakTime Mobile.
What the Employees See When Using Cost Code Groups
When employees clock in on ExakTime Mobile, they will see "All cost codes" and the cost code groups you created.
After selecting a cost code group to clock in, ExakTime Mobile will automatically show the previously used group for all subsequent clock ins to speed up the process. This feature is called "sticky groups" and is intended to help employees speed up their clocking in process.
To leave a sticky group, employees will back out of the group to return to the overall list of cost code groups.
Your employees will always be able to access all cost codes if a cost code group is missing the cost code they need.
