Sending and Reviewing Text Messages in the ATS

The "Text Messaging" feature of the ATS provides you and your users with a direct line of communication with your candidates. If a candidate has opted in to receive text messages while applying to your company, a "Send an SMS Message" ATS - SMS Icon - Both.png icon will appear for users on the appropriate pages.

Messages sent and received from a phone number can only be viewed by users assigned to the phone number. If an Administrator or another user needs to view the thread of messages from phone numbers, they will have access to "SMS Text Messaging Activity" report that they can utilize.

If a candidate opts out of text messaging, you will need to communicate via email or by calling them. Candidates and hires that opt out of text messages can also restart the service by texting "START" to your text messaging number.”

Sending and Reviewing Text Messages

  1. Navigate to the Job Posting, Candidate Pool, or Candidate Profile pages and click the ATS - SMS Icon - Both.png icon under the Actions column (if viewing the Job Posting or Candidate Pool) or next to the candidate's phone number (if viewing the Candidate Profile).

    • This icon will not appear if the candidate has opted out of text message communication. 
    • The icon will be blue if there has been no communication and green if there has been any communication.

  2. This text messaging modal allows you to view the message threads and send a message to the candidate.

  3. When a candidate replies to your text message, you will see a bell icon towards the top of the ATS. The bell icon and inbox widget will appear for all users assigned and logged-in users of the phone number within the ATS.

    •  If more than one user is assigned to a phone number and one of those users views the message, the inbox widget bell icon will not appear for the other users assigned to the phone number. It may help to communicate with your colleagues that you replied to a candidate so they can check, if needed.

Reviewing Text Message History

You can review the complete text message history from the candidate's profile or "SMS Activity" report.

  1. Click Candidates from the top menu bar.

  2. Click on the candidate’s name to open a new window/tab with the candidate's information.

    • Clicking the name of the candidate may prompt a "pop-up" warning from your web browser and not open the candidate's profile. These warnings are usually found in the address bar of your web browser and require the user to allow pop-ups from the website.

  3. Scroll through the candidate profile and expand the SMS Message History section.
