There are two ways to perform actions on candidates within the candidate pool: individually or in bulk.
Individual Actions
Use the action icons listed on the candidate's row. These actions include adding a candidate to a job, forwarding the candidate’s information via email, adding a comment on the candidate, and emailing the candidate directly.
Action icons are available to system administrators and users who have permission to perform the corresponding actions.

Send an email to the candidate. A new pop-up will appear and an email can be created from scratch or a template can be pulled in. A copy of the sent email is stored in the Activity History bubble. |

Send a text message to the candidate. This icon will only appear if the candidate has opted in to text message communication and the ATS user is assigned to a text message number. More information about the text messaging feature of the ATS can be found in the following dedicated article. | |
Forward the candidate’s information. A new pop-up will appear and an email can be created from scratch or a template can be pulled in. A copy of the sent email is stored in the Activity History bubble. | |
Attach Candidate to Job. This icon is in the Candidate Pool. A new pop-up will appear and jobs can be searched by zip code, job title or job ID. Select the job and attach the candidate. |
Add a Note
- Enter the note for the candidate(s). When finished, click .
- After the comment has been added, it can be found when looking at the candidate's profile.
Send Message to Candidate
- Enter the desired information for the email to be sent to the candidate. If you have any candidate email templates, you can select them from the drop-down menu. - Files can be attached to the email for the candidate.
- Click when finished.
Forward Candidate to Another User
Enter the desired information for the email to be sent to another user. If you have any 'Hiring Manager Email' templates, you can select them from the drop-down menu. The recipient must be a user already set up in the system to forward an applicant’s information.
Attaching Candidates to Jobs
If a candidate from one job posting is a suitable fit for another job posting, you can attach the candidate to another job.
- Select and enter your search criteria:
- Zip - Search for jobs using the ZIP code - only primary location zip codes can be searched
- Job Title – Search for jobs using the full or partial job title
- Job ID – Search for the job using the job ID
- Click .
- The "Matching Jobs" drop-down will contain the jobs that match your criteria. Select the desired job from the drop-down.

Bulks actions are available to system administrators and users who have permission to perform the corresponding actions.
- Add a Note
- Attach to a Job
- Send Email to Candidates
- Forward Candidates to Hiring Managers
