Hiring Templates allow the hiring process to be streamlined by pre-populating job information on the Add New Hire screen. A manager can select a Hiring Template for a new hire, which automatically fills in each field with corresponding selections from the template.
Adding Hiring Templates Permission
If a user needs to create a new hiring template and does not see the "Hiring Templates" tab, then they are lacking the necessary permission.
Navigating to Users for Onboarding
- Click Administration from the top menu bar of Onboarding.
- In the Administration menu, click the Users tab.
- Press the ... button to the far right of the user under the Action column.
- Click Edit.
- Under the 'Permissions' section, use the checkbox for 'Manage Hiring Templates'. If you do not see the option for 'Manage Hiring Templates', make sure the user's Role is 'Administrator' or 'Manager/Admin'.
- Click Save.
Managing Hiring Templates
Navigating to Hiring Templates for Onboarding
- Click Administration from the top menu bar of Onboarding.
- In the Administration menu, click the Hiring Templates tab.
The Hiring Templates page will present any previously made hiring templates. From here, you can see the:
- Name of the template
- Job Title, Hiring Manager, and Location for the template.
- If the template is Kiosk Enabled.
Clicking the column headers allow you to sort the list.
Adding a Hiring Template
- Press Add Template
- Complete the following (* = required)
- Template Name* - The template name will be seen by the hiring manager/Kiosk user will see when selecting a template when Onboarding.

Location* - The drop-down menu is populated by the Locations set up in the Locations tab.
- Indicates the work state for employees' records.
- Helps deliver appropriate paperwork based on Policies.
- Hiring Manager* - The drop-down menu is populated with users that have the manager or manager/admin role in the Users tab and have been associated with the selected Location.
- Job Title* - The drop-down menu is populated with jobs titles set up in the Job Titles tab.

Employment Type - The drop-down menu offers:
- Full Time
- Part Time
- Seasonal

Pay Rate* - The drop-down menu offers:
- Hourly
- Salary
- Amount* -Amount to be paid (e.g. 8.25).
- If this Hiring Template is to be used with Kiosk mode, enable it with the checkbox. If this option is not enabled, the hiring template will still show in the hiring template area of the Administration section, but will not be an active option for the Kiosk user or Hiring Manager to select.
- When finished, click Add.
Editing a Hiring Template
- Click the ... button under the Action column.
- Click Edit.
- Edit the hiring template as desired. If you are unfamiliar with the fields, you can refer to the information in the Adding a Hiring Template section.
- Click Save.
Deleting a Hiring Template
- Click the ... button under the Action column.
- Click Delete.

The following modal window will appear to confirm your deletion. Click Delete.
Activating Hiring Templates
- Click the ... button under the Action column.
- Click Template Activation Settings.
- Select the Company/Locations that the hiring template will be available for.
- Click Save.
- Once activated, managers will be able to select the template from a new Hiring Template dropdown on the Add New Hire page.
Using Hiring Templates
Using a Hiring Template in Non-Kiosk Mode
- If not already there, go to the New Hire Dashboard in Onboarding.
- Click the Incomplete New Hires tab.
- Click Add New Hire.
- Select an available Hiring Template from the drop-down menu.
- Once a Hiring Template has been selected, the corresponding fields will be auto-populated based on the information from the setup of the Hiring Template.
Using a Hiring Template in Kiosk Mode
When the Kiosk user signs in, they will be presented with the available Hiring Templates.
- Click/press any of the available Hiring Templates.
- Confirm the use of the Hiring Template by clicking Confirm.
- The new hire should fill in their name and their email. If the new hire does not have an email, they can click/press "I don't have an email."
