Importing Users into Your ATS

Multiple users can be imported into your ATS instead of needing to add them individually. The importing of users can be accomplished by uploading a supported file with the proper formatting of the users.

Supported Import Files

To simplify the process, we have included support for the most common file formats listed below which require little to no manipulation from Microsoft Outlook and Linkedin.

Outlook Contacts Export File

Export your contacts from Outlook and upload the resulting file into Arcoro. We have taken steps to ensure that our system "understands" this Outlook export format (.CSV) and will locate the proper fields and information from your list.

This type of file will not include User Roles, Additional System Responsibility fields, or SSO User Names. You will need to open the CSV export file to add additional required columns/fields. For more information about required fields, you can refer to the information in the Manually Created CSV File section.

Exporting Contacts for Outlook Desktop App for Microsoft 365 (As of 7/2022)
  • Click File.

  • Click Open & Export and click Import/Export.

  • Select "Export to a file" and click Next.

  • Select "Comma Separated Values" and click Next.

  • Select "Contacts" for the email account that you want to export contacts from. Click Next.

  • Browse where you want to save your contacts CSV file. Click Next.

  • Click Finish.

  • Review your CSV file after it has been created.
Exporting Contacts for Outlook Web App (As of 7/2022)
  • Click the People icon on the left-hand side.

  • Click Manage and click Export Contacts on the right-hand side.

  • Use the drop-down menu to specify to export all contacts or only contacts from a specific folder. Click Export.

  • Download and review your contacts.csv.

LinkedIn Contacts Export File

Export your contacts from LinkedIn and upload the resulting file into Arcoro. We've taken steps to ensure that our system "understands" this LinkedIn export format (.CSV) and that we'll locate the proper fields and information for your list.

This type of file will not include User Roles, Additional System Responsibility fields, SSO User Names, or some emails depending on a user's LinkedIn settings. You will need to open the CSV export file to add additional required columns/fields. For more information about required fields, you can refer to the information in the Manually Created CSV File section.

Exporting Contacts for LinkedIn (As of 7/2022)
  • Click Me from the top of the LinkedIn webpage and click Settings & Privacy.

  • Click Data Privacy on the left-hand side.

  • Select "Connections" to export your LinkedIn contacts.
    Click Request archive and enter your LinkedIn password to confirm the request.

  • You will receive an email like below when your download is ready.
    Click download your data archive using this link.
    You will be taken to the same page where you requested your data.

  • Click Download archive to download a zip file containing your requested data.

  • Extract the zip file and open the connections.csv file to review its contents.
  • The connections.csv file will give a warning that the email addresses of your connections may not be present depending on the LinkedIn settings of your connections. This data will need to be filled in for the CSV to properly import.

Manually Created CSV File

You can manually create or add any other list into users. The file format you upload must be CSV (not XLS, not "Tab Delimited") and the headers for each column must match the field names below. After the file has been uploaded, it will be processed and you will be given a preview of the data before committing the changes.

Be mindful of adding commas to fields. As a comma is used to separate different sets of data, having a comma in the middle of your data can result in some data being incorrectly imported.

  • Email_Address - Required
  • First_name - Required
  • Last_name - Required
  • User_name - Required
  • Hiring_manager - Optional
    • if included, value must be YES or NO
    • if not included, value will default to NO
  • Requisition_approver - Optional
    • if included, value must be YES or NO
    • if not included, value will default to NO
  • Email Preference - Optional
    • if included, value must be DAILY, WEEKLY, EVERY or NONE
    • if not included, value will default to DAILY
  • User_roles - Required
    • To include user roles, you must include the Cross Reference Code (the unique code you have assigned to that User Role) for each User Role. The user role codes should be together in one field, separated by semi-colons. For more information about setting up user roles, you can refer to Complete Guide to User Roles.
  • External_login - Optional
    • If included, must be the username from your single-sign-on system. If you are unsure what their username should be, check with your IT team.

Importing CSV File for Users

Navigating to User Maintenance
  • Click Administration from the top menu bar.

  • Click User Maintenance from the list on the left-hand side.

  1. Click Import Users....

  2. Upload the file by dragging the file from your computer into the designated "Drag/Drop" dotted box or use the "Click here to select files" link then click Import Users.

  3. If the file was properly formatted, you will see a preview of the data that the system recognizers. Review the preview to ensure that the data is consistent with expectations.

  4. Click Import Users when ready.
  5. You will receive a confirmation message once everything has been successfully imported.
