Understanding the New Core HR and Talent (LMS & Performance) Integration

The new Core HR and Talent (LMS & Performance) integration allows the sending of employee data between our modules to help eliminate needless data entry and quicker setup of your employees. Everything begins with Core HR as the source of truth that flows into our Talent solutions (LMS and Performance) with real-time updates.

Those also using Onboarding and ExakTime will have company-level settings and demographic information synced between each other to help ensure consistent data. 

Users of the previous integration will be migrated to the new integration on a scheduled date. Communication for the migration had been sent previously, but you can contact us for more information.

Things to Note

  • Data is synced from Core HR into Talent as Core HR is considered the source of truth for the Arcoro modules. Maintaining company setup data and employee demographic fields must be done in Core HR. Any updates made in Core HR will flow into Talent within minutes.
  • Importing directly into Talent will not be available, but you will be able to import directly into Core HR, where any relevant entities/fields will sync to Talent. 
  • Synced fields will be "Read Only" in Talent as Core HR will manage those fields. Any fields that are not synced or managed by the integration will continue to be editable in Talent. Synced fields are listed in the section below.
    • Departments, Job Codes, and Locations will sync for users with business units between Core and Talent. The assignment of business unit will only be at the company level, so users will still need to assign, if different then the company level/top level.
    • When a value is blank or unassigned in Core HR, talent will mirror the same value as "Default".
  • Employees/users can be added manually in Talent and will not sync to Core HR. This allows you to add third-party users, such as instructors, collaborators, etc.
  • The "Evaluation Pin" for an employee in Talent is "Read Only" and is updated by the employee in Talent, not by an Administrator or Core HR.
  • If a manager is terminated in Core HR, their direct reports in Talent will have their assigned manager updated to "Not Assigned". Terminating a manager in Core HR should be done after their direct reports have been reassigned to a new manager in Core HR. 
  • Job Code values must match between Core HR and Talent. Job Code "Description" field in Core HR maps to Job Code "Code" field in Talent.

Synchronization of Your Company Listings Between Arcoro Products (Core HR, Learning and/or Performance, and Onboarding)

No action is needed prior to the enablement but we want to call out how the syncing of shared fields between products could have an impact on your internal processes. With the new sync, key fields—job codes, departments, and facilities/locations—will be shared across products you may be using (Onboarding, Core HR, Performance, and/or Learning). We’ve included guidance below on what to expect on how these values will align following.

Within Core HR, navigate to Settings > Field Value Setup and select either Facilities, Job Codes and/or Departments to review the new listing that displays from all of your active products the company values are now within Core HR to manage as one. For any value you want to modify for displaying within the respective products, you control how they display and are also able to deactivate any value you do not wish to use direct from Core HR and it will sync to all of your active products.

Before Syncing

An example is shown below of facilities/locations listing prior to the activation of the sync where each list was managed independent of the other:

After Syncing

Following the sync, this list will now match between Core HR, Learning/Performance and Onboarding. Going forward, you will manage within Core HR, as the source of truth, and changes (updates, new facilities added, facilities deactivated) will sync to your other active products (Onboarding, Core HR, Performance, and/or Learning)  The shared fields between these modules will be made read/view only in Learning/Performance and Onboarding but will remain editable within Core HR for ongoing management. To also note, missing required fields of a company location/facility will need to be edited directly within the product for fields that are not shared.

In our example below, Onboarding missing Location # and Legal Name are only available within Onboarding, those fields will be editable to add in the missing information, however, adding a new location or adding an address in Onboarding from a location/facility that is now in Core, will be made view only for fields that are shared (field examples: address lines, location/facility name, active/inactive).

Best Practice - New Required Fields Set Within Core HR Employee Profiles

To bring consistency in experience and data integrity between our multi module users of Core HR and Learning/Performance, when completing an employee profile within Core HR, there are newly required fields that will satisfy the required fields in Talent. This may cause an experience change within your Core HR profiles by those fields being required, there will be errors received until the selection and/or data is inputted into any missing fields.

The system will automatically set the following fields in Core HR as required: 

  • Work Email 
  • Employee ID 
  • Performance Manager 
  • Facility 1 

Only Performance Manager and Facility 1 are the only two fields that can be set to not required. Core HR requires the work email and employee ID for other purposes, and it is required in Learning/Performance so these cannot be unset. 

As a result of this update, there is now an additional field within the "Required Fields" listing that is included:

  • PA Manager (Full Name)

To find this new field and all required field selection options, navigate to Setup > Required Fields in Core HR.

Important Notes

  • Facility/Location, Job Code, and Department company-level values, if deleted in Core HR, will be deleted in Talent.
    • Employees will be moved to a “Default” value for any of those values missing.

What Data Does Not Sync

  • Locations for Business Unit assignments will remain editable in both Core HR and Talent for continued management of business unit assignments.
  • Employee demographic fields not shared between Core HR and Talent will continue to be maintained in Talent:
    • Groups
    • Salary
    • Next Evaluation Date
    • Last Promo Date
    • Lock Record Date
    • Potential Rating
    • Ethnicity
    • Sex
  • Employees/users added in Talent will not sync to Core HR. This allows you to add third-party users, such as instructors, collaborators, etc., to Talent.
