Setting Up and Using Kiosk Mode for Onboarding

'Kiosk Mode' is an option for Onboarding that allows new hires to start and complete their paperwork without needing to be set up in Onboarding prior.  A 'Kiosk User' is limited to 'Kiosk Hiring Templates' so new hires can complete their paperwork while on the job site. 

If a user needs a Kiosk role and a hiring manager/administrator role, they will need two separate logins. For some scenarios, it can help to have a shared Kiosk login if multiple people need both a Kiosk role and a hiring manager/administrator role.

The Arcoro Onboarding and Human Resource solution facilitates the electronic delivery of the I-9, Employment Eligibility Verification form, as specified by the U.S. Citizenship and Immigration Services. This onboarding process enables both the employee and the hiring manager to electronically sign the form, which is then securely stored in an electronic file cabinet. This onboarding process enables the authorization of electronic signatures of both employee and hiring manager (company authorized representative)

Enabling Kiosk Mode

Before you can begin creating a Kiosk role and setting up hiring templates for Kiosk mode, you must enable the 'Kiosk Mode' option from the 'Settings' tab of Administration in Onboarding. If you are using Business Units, you must enable 'Kiosk Mode' for the appropriate Business Unit.

Creating/Assigning Kiosk Role

  1. In Onboarding, click Administration from the top menu.

  2. Click the Users tab.

  3. If creating a new user role, click Add New User.
    For an existing user role, click the ... button under the Action column and click Edit.

  4. Enter the required information for the user role. For roles, select "Kiosk User".

  5. Click Add / Save.

Creating Hiring Templates for Kiosk

  1. Click Hiring Templates.

  2. If creating a new Hiring Templates, click Add Template.
    For an existing Hiring Template, click the ... button under the Action column and click Edit.

  3. Enter the required information for the hiring template. Use the checkbox for "Kiosk Enabled".

  4. Click Add / Save.

Using Kiosk Mode

In the examples below, we are using a Samsung tablet, but this can be performed on any computer or tablet available. Please be mindful of small screens as it can limit ease of use for the new hire.

  1. After logging in with the Kiosk User login, you will see a screen like below showing any Kiosk Templates.

  2. To help filter the listed Hiring Templates, you can click the drop-down menu in the top right to filter Hiring Templates by their location.

  3. Click/press the Hiring Template to use.

  4. Confirm the Hiring Template to use.

  5. If you are using the 'Create New Kiosk Hire' option, you will be required to specify the location, the hiring manager verify the i9 paperwork, and the job title. All other fields can be completed at the same time or later on by the hiring manager.

  6. The new hire will begin filling in their name, their email, and click Start Paperwork. Their username will be automatically generated based on their email and appended with the time they started their paperwork. 
    • If the new hire does not have an email address, they can click I don't have an email. The new hire will have a randomly generated email/username created for them so they can begin Onboarding. If the new hire needs to log back in to finish/edit their onboarding paperwork, you can refer to the following article for information on how to reset their password.

  7. The paperwork presented to the new hire in Kiosk mode will be the same as it would be for normal new hires. If you are unfamiliar with the new hire experience, refer to the following article that details the steps.
