Managing Business Units for Onboarding

Business Units require an additional purchase to be enabled and set up for your Onboarding account. For more information, please contact your sales rep/account manager.

Business Units allow you to customize for Onboarding allows you to specify the settings for your respective business units to provide a unique experience. This ranges from what is required of your new hires when completing their paperwork to the names used for email notifications.

When setting up your Business Unit, some settings/fields will be shared amongst your business units, while others will only apply to the currently selected business unit. Some shared settings allow you to specify which business units they will apply to, such as job titles.

Navigating to Business Units
  • Check that you are in the parent company with the drop-down menu towards the top-left.

  • Click Administration from the top menu bar of Onboarding.

  • In the Administration menu, 'Business Unit' should be the first tab selected.

Business Units

The Business Units tab will allow you to customize the settings for the respective business unit.

The 'Business Units' tab will offer the following columns populated with the settings from the Business Unit:

  • ID
  • Name
  • Federal EIN
  • Age Threshold
  • E-Verify Client #
  • Tax Break Client #
  • Has Tax Break?
  • Has Training Rate?
  • Has Pay Cards?
  • Has Direct Deposit?
  • Years to Keep Employee Records

Managing Business Unit Settings

  1. Click the ... button under the Action column.

  2. A menu will appear for you to make any desired changes to the business unit. More information about the available fields is detailed in the following article.

  3. Click Save when finished.

Locations

Locations must be created per business unit and allow you to define a group of employees for paperwork and their work location. Make sure that you are in the correct business unit when creating a location.

Users

When setting up your Onboarding users, they will be shared amongst all of your business units, and you can specify which business units and locations they have access to.

Policies

Policies are created per business unit and allow you to upload documents that your new hires are expected to acknowledge, such as an employee handbook.

Notifications

Notifications are created per business unit and allow you to send email templates to your new hires or managers. Notifications will offer mail merge fields that reference the business unit or company names to provide a clearer distinction.

Job Titles

Job Titles are shared amongst your business units, but you can specify which business unit they are available to.

Custom Fields

Custom Fields are shared amongst your business units and allow you to ask additional questions to your new hires while completing their paperwork.

New Hire Experience

The New Hire Experience can be customized to suit your respective business unit. If a business unit does not have its own new hire experience configured, it will default to the new hire experience of the parent account. Because of this, it may be best to create a generic new hire experience appropriate for the parent account until all child accounts have their own new hire experience. Each business unit can only have one new hire experience configured.
