Sage Intacct Troubleshooting: Employment Status, Hire and Termination Dates

Before Arcoro sends an Employee or Contractor to Sage Intacct, it checks that the person's dates are sensible together. It confirms the hire or start date falls after the date of birth, and that a termination reason is never sent without a matching termination date. Either check failing stops that one record from being sent to Sage Intacct on this run, while the rest of the batch continues. The data problem is on the Arcoro side of the sync, not something Sage Intacct rejected.

Error Messages

Message textDirectionOccurs whenOutcomeFix
The Start date must be after the Date of Birth. This record will not be Synced. Correct the data in the source system and execute the Sync again.Write (Arcoro to Sage Intacct). Employee and Contractor. On an Employee record, the Hire Date is on or before the Date of Birth. On a Contractor record, the Start Date is on or before the Date of Birth. A date exactly equal to the Date of Birth fires this check too, it is not limited to dates strictly earlier. This check only runs if Date of Birth was actually populated for this record on this sync. If Date of Birth was not read for the record this run, the check cannot fire at all, even if the dates are wrong.Whole record skipped. No write is attempted for that Employee or Contractor this run.Correct the Hire Date (Employee) or Start Date (Contractor) so it is later than the Date of Birth, then re-run the sync.
A termination date is required if a termination reason is provided. This record will not be Synced. Correct the data in the source system and execute the Sync again.Write (Arcoro to Sage Intacct). Employee only.A Termination Reason is present on the record and no Termination Date is present. A Termination Date with no reason does not trigger this message.Whole record skipped. No write is attempted for that Employee this run.Add the matching Termination Date, or remove the Termination Reason if the person was not actually terminated, then re-run the sync.

Confirming the Error

  1. Open the sync execution in question.
  2. Find the step for the Sage Intacct connector.
  3. Find the entity row for Employee or Contractor.
  4. Check the Errors column for that row. Sync History shows per-entity counts in columns labelled Errors, Warnings, Information, Failures, Added, Updated, and Unchanged. A non-zero Errors count means at least one record was skipped.
  5. Open the errors list for that entity row and match the entry against the exact wording in the table above. Neither message contains a name, ID, or any other inserted value, so there is no quoted value to search on. Opening the entity row is the only way to see which record the message belongs to.

Resolving the Error

Both fixes are made on the Arcoro side of the sync, on the record being sent to Sage Intacct. Sage Intacct is not where either correction is made.

Hire Date or Start Date Is Not After Date of Birth

  1. Open the record in Arcoro. On an Employee, this is the Hire Date field. On a Contractor, this is the Start Date field. The error text says "Start Date" for both entities, but on an Employee record the field is named Hire Date, not Start Date. Do not look for a field literally called Start Date on an Employee.
  2. Check the Date of Birth on the same record.
  3. Correct the Hire Date or Start Date so it falls strictly after the Date of Birth. A date equal to the Date of Birth still fails this check.
  4. If the Date of Birth looks missing or wrong but no error appeared for this check, do not assume the dates are fine. Confirm Date of Birth is actually included in this sync before ruling out a data issue, since the check is skipped entirely when Date of Birth was not read this run.
  5. Re-run the sync and confirm the record no longer appears in the Errors list for that entity.

Termination Reason Provided Without a Termination Date

  1. Open the Employee record in Arcoro.
  2. Check the Termination Reason and Termination Date fields.
  3. If a Termination Reason is set, add the matching Termination Date. If the person was not actually terminated, remove the Termination Reason instead.
  4. Re-run the sync and confirm the record no longer appears in the Errors list for the Employee entity.

When to Escalate

If any of the following occur, you may need to reach out to Arcoro support for additional assistance.

  • The error persists after the Hire Date, Start Date, Date of Birth, Termination Date, or Termination Reason has been corrected and the sync re-run.
  • The message text reported does not match either message in the table above.
  • The dates are correct, but the record still fails, and the Date of Birth has been confirmed as part of this sync.
  • You cannot find or edit the field in question in Arcoro.
