Using "My Timesheet" on ExakTime Connect

"My Timesheet" is the primary page on which you can review your timesheet and approve your time in ExakTime Connect. Some actions and options on your timesheet will only be available if enabled by your ExakTime Connect administrator. 

"My Timesheet" can be accessed by logging in to your company's ExakTime Connect account. If you are unsure of the URL for your company's account, reach out to your company's ExakTime administrator for the URL.

Navigating to Timesheets
  • If you only have access to your Timesheet, it should be the first page for you.
  • If you have permission to other menus/pages, go to Time Management and click My Timesheet from the menu bar.

  1. Hours Summary - A summary of your hours for the given date range.
  2. Add Time - If enabled, allows you to add time to your timesheet.
  3. Copy Time - If enabled, allows you to copy your time from your currently selected date range to another.
  4. Approve Time - If Pay Period Approvals have been enabled and you are viewing a pay period, the "Approve" button will be available.
    • If Pay Period Approvals are not enabled or you are not viewing a pay period, the "Approve" button will not appear.
  5. Approvals - Labels will indicate who has approved the timesheet, if using pay period approvals.
  6. Approval History - Review the Approval History.
  7. Pay Period/Date Range Selector - Select pre-defined date ranges (pay periods) or a custom date range.
  8. Timesheet - Your timesheet for the selected date range.

  1. The employee's timesheet will have the following columns. Clicking the headers will allow you to sort the list.
    • Actions
    • Date
    • Location
    • Cost Code
    • Hours
    • REG
    • OT1
    • OT2
    • Unpaid
    • Comments
  2. If Daily Approvals have been enabled, you can click +/- to expand/collapse the day, approve/unapprove the time, and see who has approved your time.
  3. Pencil - Edit Icon - 00.png & Trash Can.pngEdit or delete a timesheet block. These icons are not clickable if you do not have permission to edit your timesheet or if the time originated from a time card.

Managing Your Timesheet

If you have been granted permission to manage your timesheet, you will also be able to:

Adding Time

  1. Select a pre-defined date range (pay period or pay week) or a custom date range for the period you want to add time to. You can only add time for dates in the selected date range.

  2. Click Add Time. If you cannot click "Add Time", make sure the pay period is not closed, the time is not approved at a higher level, and you have permission to add time.

  3. Choose the dates to add the block(s) of time for. The dates available are based on your selected date range. Type into the field to filter the list of available dates.

    • If multiple dates are selected, the block(s) of time and details will be applied to each day for each selected employee.

  4. Select the active location for the block of hours. Type into the field to search for a location by ID or name.

  5. Select the cost code for the block of hours. Type into the field to search for a cost code by ID or name. The cost codes listed will respect the Location viewsets

  6. Hours can be entered in quarter-hour increments (.25), up to 24 hours. Entering any value that is not in a quarter-hour increment will round the time to the closest value (i.e., entering a time of .31 will round to .25).

  7. You can also add an optional comment for the time.
  8. Click Save when finished. The time will be added to your timesheet and policies will automatically apply, such as overtime calculations and excluded cost codes.

Editing Time

  1. Click the pencil icon Pencil - Edit Icon - 00.png for the time block to edit. If you cannot click the icon, make sure that:
    • The pay period is not closed, the time is not approved at a higher level, and you have permission to edit time.
    • The time does not originate from a time card. If the time originates from a time card, the time can only be edited from a time card and will require the assistance of your ExakTime administrator.

  2. The "Edit Time" menu will be prefilled with the existing time record data. Update the fields as needed:
    • Date(s) - The dates available are based on your selected date range. Changing the date will move the time to a different day. It does not let you view the time of a different day.
    • Location - Type into the field to search for a location by ID or name.
    • Cost Code - Type into the field to search for a cost code by ID or name. The cost codes listed will respect the Location viewsets.
    • Hours - Hours can be entered in quarter-hour increments (.25), up to 24 hours. Entering any value that is not in a quarter-hour increment will round the time to the closest value (i.e., entering a time of .31 will round to .25)

  3. Click Save when finished. Repeat for other time blocks as needed. The time will be updated on the employees' timesheet and policies will automatically apply, such as for overtime calculations and excluded cost codes.

Deleting Time

  1. Click the trash can icon Trash Can.png. If you cannot click the icon, make sure that:

    • The pay period is not closed, the time is not approved at a higher level, and you have permission to delete time.
    • The time does not originate from a time card. If the time originates from a time card, the time can only be edited from a time card and will require the assistance of your ExakTime administrator.

  2. Click Delete to confirm the deletion of the time.

  3. The timesheet will update with the time deletion and policies will automatically apply, such as overtime calculations and excluded cost codes.
