Setting Up GeoFence Violation Notifications for ExakTime

GeoFence Violation settings for ExakTime Mobile allow supervisors to receive notifications when an employee clocks in/out outside of a known GeoFence over a specified distance.

Things to Note

  • The GeoFence Violation notifications are triggered when the employee's time punch initially populates their time card. GeoFence Violation notifications will not trigger when:
    • Time records are manually added.
    • Time records are edited, and the employee's GPS position is outside the edited location.
    • Time punches created with "Clock For".
  • If an employee is unable to send their time punch or sync their time record for any reason, such as a lack of internet or cellular signal, the GeoFence Violation notifications may be delayed.
    • For example, if an employee clocks in at 8 AM while outside the GeoFence and does not have internet to send the time punch, the GeoFence Violation will not be sent. When the employee gets internet later in the day, around 2 PM, and syncs the unsent time punch to ExakTime Connect, the supervisor will receive the GeoFence Violation around 2 PM.
  • Each GeoFence Violation notification is sent individually.
    • For example, if five different GeoFence Violations are supposed to be sent, five individual notifications will be sent. 
  • If an employee were to trigger a GeoFence Violation Notification, each user with the employee in their viewset will receive a notification of the GeoFence Violation. If a user does not want to receive the notification, they can disable the notification for themselves from "My Settings".

Requirements

For GeoFence Violation notifications to be sent, your employees must have:

  • GeoFence Violation alerts require your employees to use ExakTime Mobile version 2.102 or newer. If you or your employees are unfamiliar with the version they are using, refer to our article here to check their version.
  • The employee must be in the user's viewset for the user to receive notifications.
    • A user's viewset can be set to "All Employees", "Selected Employees", or "Selected Employee Groups".
  • The employee's time punch must have GPS coordinates associated with it to compare against the GeoFence of the location. 
  • Locations must have a GeoFence set up when the employee's time punch populates the time card to trigger a GeoFence Violation. Setting up a GeoFence for a location after the time punch populates the time card will not trigger the notification. 

Configuring GeoFence Violation Settings

The GeoFence Violation setting allows you to select up to three delivery methods (App Notification, SMS, and Email) for supervisors to receive alerts when an employee clocks in or out while outside the known GeoFence of a location. Only one alert will be sent if the supervisor meets the criteria to receive the alert for the respective delivery method. If all or multiple options are enabled, it will prioritize Push, then SMS, then Email. For example, if SMS and Email are enabled, but the supervisor does not have a mobile phone entered on their profile, but has an email address, an email will be sent.

  1. Go to Tools and click Alerts and Notifications

  2. Click GeoFence Violation

  3. Select the delivery method(s) that should be used for a supervisor to receive a GeoFence Violation alert.

    • Push Notification to Exaktime Mobile - Receive a push notification if the supervisor is logged in to ExakTime Mobile. Push notifications cannot be referenced later when swiped away. SMS and Email can be more beneficial to refer to later.
    • SMS - Receive an SMS message.
    • Email - Receive an Email.
  4. Enable and configure the appropriate options for a supervisor to receive alerts:

    • Send supervisor a notification if an employee clocks in X miles outside of the locations GeoFence radius.
    • Send supervisor a notification if an employee clocks in X miles outside of the locations GeoFence radius.
  5. Save your changes. 

Example of a Notification

Each alert will contain:

  1. Employee Name - Employee name associated with the punch outside the geofence area.
  2. Location -  Where the punch occurred.
  3. Distance - The employees' distance outside the geofence radius, displayed in both miles and kilometers.
  4. Type - The type of Punch (Clock In or Clock Out).
  5. Date/Time - The date and time of the punch.

Notification Settings

Users can configure their notification settings to receive notifications for only Clock In or Clock Out time punches, or receive none at all.

  • Click your profile in the top-right of ExakTime Connect and click My Settings

  • Configure the notification settings as desired.
